Job Summary We are seeking a reliable, professional Receptionist–Dispatcher to be the first point of contact for our team. This role is the heartbeat of our daily operations and customer experience. The ideal candidate is organized, detail-oriented, and able to multitask in a fast-paced environment while maintaining a calm, friendly, and confident demeanor. This position requires the ability to reassure customers during stressful situations.
Key Responsibilities
Answer and route incoming phone calls promptly and professionally
Serve as a friendly, calm, and reassuring voice for customers during emergency and high-stress situations
Gather initial loss information and create electronic job files accurately and in a timely manner
Dispatch technicians for water, fire, mold, and emergency service calls
Schedule estimators as needed for non-emergency service calls
Provide clear, confident direction to production staff and ensure schedules and priorities are followed
Communicate effectively with customers, insurance representatives, management, and field staff
Monitor job progress and adjust schedules as needed, standing firm on priorities and timelines when necessary
Perform general administrative duties including data entry, filing, and document management
Maintain a clean, professional front office environment
Qualifications & Skills
High school diploma or equivalent required
Previous experience in reception, dispatching, or administrative support preferred
Experience in restoration, construction, or insurance-related fields is a plus but not required
Strong phone etiquette and customer service skills
Ability to remain calm under pressure while being assertive and decisive when required
Comfortable giving direction and maintaining boundaries with field staff
Strong organizational, time‑management, and multitasking abilities
Proficiency in Microsoft Office and ability to learn job management software
Dependable, punctual, and professional
Work Environment Office-based role with frequent phone and computer use. Fast‑paced environment with time‑sensitive and emergency‑related calls. Regular interaction with customers and production staff during urgent situations. After-hours on‑call rotation.
