Hartford Hospital is one of the largest and most respected teaching hospitals in New England.

It is a Level 1 Trauma Center that provides cutting‑edge treatment to its patients, and it houses the largest robotic surgery center in the Northeast and the Center for Education, Simulation and Innovation (CESI).

The Community Care Clinic, located on the third floor of the Community Health building, serves roughly 3,000 patient visits annually with an average of 50 patients per day.

The clinic’s staff includes providers, psychiatry, fellows, psych residents, social workers, nutritionists, pharmacy liaison, APRNs, RNs, MAs/MAAs, a case manager, and a data manager who provide compassionate care, teaching, and research.

Job Summary The Office Coordinator manages the daily operations of the practice and performs a variety of administrative functions related to practice operations.

Job Responsibilities

Supervises administrative and clinical staff and practice operations, including scheduling, workflow, service delivery, and employee performance.

Supports ambulatory practice operations by optimizing front‑end workflows, ensuring accurate billing and coding, and driving continuous improvement initiatives.

Works closely with the Lead Medical Assistant to ensure continuity and optimize workflow.

Maintains and adjusts staff schedules to complement provider schedules.

Serves as the primary resource to office staff on administrative matters including patient flow, office operations, customer service, health insurance, billing/coding requirements, and EMR functionality.

Assists clinical and medical staff in organizing and triaging care by accurately relaying pertinent patient information, adjusting the patient schedule as needed, coordinating urgent care with other resources, and releasing health information in accordance with HIPAA requirements.

Ensures that all staff members communicate and interact with patients in a courteous, respectful, and businesslike manner.

Holds staff accountable for customer service standards and takes appropriate action when incidents occur.

Interviews candidates and makes hiring decisions in conjunction with the Office and/or Practice Manager.

Acts as a liaison regarding daily operations and staff communication.

Fields and triages patient complaints with assistance from management as needed.

This is a grant‑funded position.

Qualifications

Relevant experience in a fast‑paced medical office highly preferred.

Previous management/supervisory or leadership experience preferred.

Strong communication skills and experience in a leading role required.

Ability to improve quality and productivity by identifying improvement opportunities.

Bilingual Spanish preferred.

Must be capable and willing to cover administrative front office staff as needed: scheduling appointments, answering telephones, signing in and discharging patients, copying and faxing.

Knowledge of computer systems: Microsoft Office, Excel, EPIC.

Knowledge of medical coding preferred (CPT and ICD‑10 coding).

Excellent communication skills.

Must be able to multitask and possess outstanding communication and follow‑up skills in a busy outpatient ambulatory care clinic setting.
