Executive Administrative Assistant
Full‑Time | On‑Site | Atlanta, GA
The Executive Administrative Assistant serves as a key liaison between the Regional Director and internal and external stakeholders, supporting leadership through advanced administrative coordination, document preparation, scheduling, reporting, and program tracking to ensure efficient and effective executive operations. This role is responsible for managing executive‑level administrative functions, coordinating communications, and supporting business operations, organizational effectiveness, and modernization initiatives.
Key Responsibilities
Perform high‑level executive and administrative support functions for the Regional Director.
Plan and provide analytical and administrative support related to facilitation, training, methodology development, evaluation, business management techniques, and organizational development initiatives.
Support business process improvements and modernization projects through coordination, documentation, and reporting.
Compose, type, and enter information into computer systems, databases, and electronic spreadsheets.
Maintain and manage the Regional Director’s calendar, including scheduling meetings, reminders of deadlines, and coordination of events.
Draft, prepare, review, edit, and file executive correspondence, spreadsheets, reports, and other documentation.
Receive, sort, distribute, and prepare incoming and outgoing mail, including overnight, express, or courier services.
Manage the executive conference room calendar and associated telecommunications resources.
Coordinate and support meetings and conference calls; prepare agendas, attend meetings as requested, record minutes, and distribute meeting documentation.
Coordinate and disseminate interoffice and executive communications.
Make travel arrangements and coordinate off‑site meetings and facilities as required.
Support regional emergencies, taskings, and special projects as directed by leadership.
Collect, review, and forward required Government‑Owned Vehicle (GOV) monthly reports.
Assist personnel with the maintenance, procurement, and distribution of routine office supplies.
Serve as liaison with IT and helpdesk support in the absence of other administrative staff, including initiating, tracking, and closing service requests.
Serve as timekeeper for assigned areas of responsibility and as a backup timekeeper region‑wide, validating timecards with proper approval.
Assist the Regional Director with preparing, reviewing, and editing executive correspondence from internal and external organizations.
Monitor executive‑level suspense items to ensure deadlines are met; collect, review, and consolidate responses from leadership and management staff.
Prepare correspondence, reports, graphs, charts, and perform research in support of executive decision‑making.
Assist with Freedom of Information Act (FOIA) request coordination as directed.
Support personnel actions related to hiring, reassignments, and other administrative staffing actions.
Assist with training program coordination, including presentation development, training requests, funding coordination, and maintenance of training calendars.
Demonstrate proficiency in Microsoft Windows‑based systems and standard office equipment to compile, organize, and manage executive materials efficiently.
Education and Experience Education:
Bachelor’s degree (BS/BA) required.
Experience:
Minimum of five (5) years of experience providing executive administrative support at or equivalent to the GS‑14 or GS‑15 level.
Skills and Qualifications
Practical understanding of organizational structure and operational relationships across offices and leadership levels.
Proficiency in personal computers and software applications, including Microsoft Word, Excel, PowerPoint, SharePoint, Visio, and Access.
Ability to establish and maintain comprehensive filing systems; strong document formulation, compilation, and organization skills.
Accurate typing skills with a minimum speed of 40 words per minute and strong attention to detail.
Excellent oral, written, and interpersonal communication skills.
Ability to coordinate multiple administrative projects simultaneously and manage competing priorities effectively.
Participation in required annual training, including ethics training, and ability to attend conferences as necessary.
Must be a U.S. Citizen and must be able to obtain and maintain DHS public trust suitability through a DHS background investigation.
