Responsibilities The
BMG Supervisor , under the direction and supervision of the BMG Manager supervises the day-to-day operations of the work unit. The supervisor is responsible for organizing, coordinating and supervising the daily support activities performed by staff. Assures adequate levels of staff, supplies and equipment to ensure smooth clinic operations. Assists in development of systems that maximizes patient service and provider support. The supervisor is a direct resource for providers, managers, and staff in information and problem solving related to surgical and clinical schedules. The supervisor works closely with management team and other departments to ensure efficient and high quality support and operations for the delivery of care throughout the Bassett Healthcare Network (ONEBASSETT) and with non-Bassett referring providers.
Demonstrates working knowledge of office operations.
Ability to perform office functions up to and including registration, appointment scheduling, answering phones, cashiering, medical records duties according to departmental policy and procedure as observed by Manager and as noted on work quality reports.
Performs in one or more areas of operation at the highest level such as Master Scheduler or Coder as observed by Manager with feedback from the Application Manager/Trainer.
Provides coverage for staff absences as needed as observed by the Manager.
Coordinates day-to-day practice operations to ensure patient service that is friendly, helpful and efficient.
Implements and maintains procedures that optimize patient flow, customer service and provider productivity as observed by the Manager with feedback from patients and providers.
Serves as a role model to staff in dealings with patients. Acts in conjunction with the manager as the primary contact for patients with concerns, questions, complaints or compliments. Documents these contacts according to Bassett policy and procedure as: monitored by the manager through observation, review of records and patient feedback.
Assures that all available appointment time is fully utilized according to departmental policy and procedure as monitored by Manager through booking ratio and other EPIC scheduling reports.
Is a resource to staff, providing them with needed information or direction in performance of their daily work duties as observed by the manager.
Maintains necessary levels of supplies to meet departmental need. May review storeroom requests, initiates purchase requisitions, initiates routine and urgent requests for maintenance or repair of equipment or facilities according to Departmental policy and procedure as observed by the manager and reviewed through purchasing records and storeroom reports. Acts to conserve funds and resources whenever possible. Makes cost saving suggestions.
Exercises supervisory authority to ensure that employees are meeting or exceeding customer service standards and completing their tasks effectively and efficiently.
Participates in the selection of new employees following departmental policies and procedures on hiring practices as observed by the Manager.
Prepares work schedules - Ensures offices are staffed appropriately during clinic operations hours.
Assigns staff to job functions, approves time cards according to Departmental policy and procedure as monitored by manager through observation, by review of work schedules, and payroll reports.
Coaches, directs and monitors staff to ensure they are meeting their job standards and are adhering to departmental policies and procedures. Supervisor follows Personnel policies and procedures in performing these duties as observed by Manager.
Ensure that clerical staff have the information and resources needed to perform their jobs efficiently and effectively.
Coordinates overall orientation for new employees. Performs site specific orientation for new employees, including the preparation of training materials according to Personnel policies and procedures, as monitored by Manager through review of completed records in new employee personnel file.
Completes annual and mid-year performance appraisals by the due date on all assigned staff as observed by manager
Ensures compliance with procedures, policies, and regulatory requirements. Assists with the development and implementation of divisional or clinic protocol and policies.
Ensures compliance with all regulatory agency requirements in conjunction with the BMG manager.
Ensures compliance with divisional, departmental and institutional policies and protocols in conjunction with the BMG manager.
Proactively identifies safety-related issues, addresses identified issues and institutes procedures which minimize risks to patients and staff.
Reports and acts to correct compliance and risk related issues.
Develops policy or protocol within the division or clinic, assesses effectiveness of established policies.
Performs other duties under the direction of the Manager for the overall effectiveness of the unit
Assists the Manager with preparation of reports, collection of data, planning, design of systems, and procedures, project completion as observed by the Manager and review of final product.
Attends meetings and serves on committees as needed, using Learning Organization skills as observed by Manager.
Keeps informed about Bassett network and its services, events, sharing this information with staff as observed by Manager.
One or two clinic site assignments
Supports less than 10 providers
FTE responsibility is = 8 FTE
Qualifications Education
High School or GED, required
Business School graduate or Associate's Degree in Business or Business Management, preferred.
Bachelor's or Master's degree in business or healthcare field may be substituted for below experience
Experience may be considered in lieu of education
Experience
Minimum of 3 years of healthcare responsibility with progressive levels of responsibility, required
