Description We are seeking a dedicated and detail‑oriented Supported Living Services (SLS) Administrative Assistant to join our team, focusing on gathering and disseminating essential resources for adults with developmental disabilities. The ideal candidate will have a strong understanding of the various support services available to this population, including but not limited to Medi‑Cal, housing vouchers, In‑Home Supportive Services (IHSS), vocational training, and community programs. As a Resource Specialist, you will play a crucial role in assisting individuals with developmental disabilities in accessing the necessary resources to enhance their quality of life and promote independence.

Summary This position provides support for the Supported Living Services (SLS) Department. This position reports directly to the CLS Program Director and exercises no supervisory function. The SLS Admin Assistant performs the following essential duties:

Initiate and manage all generic and community resources and services utilized by program participants.

Identify available resources, services, and programs that cater to the needs of adults with developmental disabilities. Stay current on changes to existing resources and the introduction of new programs.

Maintain a comprehensive database of resources, including eligibility criteria, application procedures, contact information, and any other pertinent details. Organize the database for easy access and updates.

Assist participants in completing applications for various programs, benefits, and services, ensuring that all required documentation is accurately compiled and submitted in a timely manner.

Advocate on behalf of participants to ensure they receive the appropriate resources and support. Collaborate with relevant agencies, organizations, and service providers to address any challenges or barriers that participants may encounter.

Develop informational materials, guides, and presentations to educate participants, Case Managers, and staff about available resources, eligibility requirements, and application processes.

Establish and maintain strong relationships with local service providers, government agencies, and community organizations to facilitate seamless referrals and resource sharing.

Keep accurate records of resource documentation and outcomes. Generate regular reports to track the utilization and effectiveness of various resources.

Orientation and management of In‑Home Supportive Services (IHSS) enrollment for staff, and maximization of IHSS utilization of participant‑assigned hours.

Assist in staffing coordination for vacation coverage and other short‑term staff assignments.

Quality Assurance of staff timecards and overtime calculations.

Assist with participant annual budget preparation and monthly billing for services provided.

Qualifications Qualification Requirements

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education, Certification, and/or Experience

Bachelor’s degree preferred. Must be highly organized, tactful, and a team player. Must have a minimum of two years experience working in an administrative capacity, preferably in services for individuals with disabilities, with indications of increasing levels of responsibility. Strong knowledge of available resources for adults with developmental disabilities, including but not limited to Medi‑Cal, housing vouchers, IHSS, vocational training, and community programs. Excellent research, communication, and interpersonal skills. Empathy, patience, and a person‑centered approach. Proficiency in data management and documentation. Ability to work independently and collaboratively within a team. Cultural sensitivity and the ability to work with diverse populations. Familiarity with relevant regulations and guidelines. Strong organizational and time management abilities.

Individuals offered a position must be willing to submit to a background check. Employee must have a valid California Driver License and a clean driving record (within InAlliance’s guidelines) from the Department of Motor Vehicles.
