Job Summary Manages and directs the daily operations of the payroll department for multiple corporations. Monitors and analyzes payroll data and produces financial and tax reports or statements.

Creates and files monthly, quarterly and annual tax reporting on a timely basis. Establishes and enforces proper federal and state payroll methodology, corporate policies and principles to ensure complete, accurate and timely payroll payments and reporting.

Essential Duties and Responsibilities

Supports and promotes the mission and values of Covenant Health Ministry.

Manages the payroll staff, orients staff and conducts performance evaluations.

Responsible for the hiring and termination of payroll personnel.

Responsible for payroll process including creation of both semi-monthly and bi-weekly payrolls with off-cycle demand checks as needed.

Responsible for maintenance and development of Workday Payroll software.

Responsible for payroll process improvement.

Participates in annual year-end financial audit.

Creates and files governmental tax documents monthly, quarterly and annual.

Educates leadership concerning policies and procedures during new Leadership Orientation program.

Conducts regular performance evaluations and initiates appropriate personnel action recommendations.

Other duties as consistent with this role.

Job Requirements

Responsible for creation and filing of IRS Forms 941, W2s.

Responsible for creation and filing of multiple state wage, withholding and tax filing statements.

Lead person responsible for maintenance and management of time and attendance process.

Lead person responsible for creation of semi-monthly and bi-weekly payrolls.

Participates in annual audit reports as required.

Maintains payroll record retention and follows corporate retention policy.

Maintains knowledge of personnel policies, payroll laws, and procedures to ensure organizational compliance.

Provides ongoing training, continuing education, and technical support to Payroll Staff.

Prepares the quarterly Form 941 and State Unemployment 941 reports when due incorporating both payroll information and third-party sick pay data for all locations. Responsible for submission of wages to the State Unemployment Division and the Social Security Administration for all locations.

Balances the Year-to-date earnings and deduction reports on a quarterly and annual basis.

Balances and prepares the form W2s and W3s at year-end, incorporating both payroll and third-party sick pay data for all corporations. Prepares the electronic files for submission of W2 data to the Social Security Administration.

Provides assistance with payroll information for the preparation of Cost Reports and IRS Form 990 filing.

Responds to requests for payroll information in a timely manner.

Prepares on-demand reports.

Develops annual departmental goals for discussion with Director of Finance.

Job Knowledge and Skills

Requires solid management skills and strong financial analysis skills.

Possesses advanced Excel skills and is highly proficient in other Microsoft applications.

Experience with ERP payroll software systems, along with data entry and reconciliation of tax withholdings and wages.

Incumbent will be self‑directed and require little oversight in performance of duties, which include financial, human resource, technical, quality management, and team building concepts.

Requires excellent interpersonal skills, analytical and conceptual thinking ability, team building ability, with an emphasis on performance and achievement.

Requires ability to affect change management, and commitment to customer‑focused management of services.

Must be able to communicate effectively within all levels of the organization.

Must possess advanced organizational and customer service skills.

Must be entrusted to maintain confidentiality with payroll information.

Requires attention to detail, deadlines and accuracy.

Education and Experience

Bachelor’s degree required

Workday payroll experience required

Certified Payroll Professional certification preferred

Minimum of 5 years staff managerial experience

An equivalent combination of education and experience which provides proficiency in the areas of responsibility listed above may be substituted for the above education and experience requirements.

Working Conditions/Physical Demands Must possess the physical and mental abilities to perform the tasks normally associated with this position that involves a combination of sitting, standing, walking, bending, stooping, and reaching. Occasional lifting/carrying up to 25 lbs. Some stress related to high level of responsibility for quality work.
