Bookkeeper with Controller capabilities. Ideally, this is a hybrid of the two roles listed below.

Bookkeeper Classification: Consultant (1099) Hours: 10-20 per month (flexible scheduling) Rate: $30/hour Location: Remote, with occasional virtual meetings; the studio is based in Pasadena, CA
RESPONSIBILITIES We are seeking a detailoriented parttime bookkeeper to manage recurring financial tasks and maintain accurate records for our firm. This role is ideal for an experienced professional who thrives in a flexible, remote environment and can ensure timely, reliable financial reporting.
Accounts Receivable
Record customer payments and deposits.
Track outstanding invoices and follow up as needed.
Maintain accurate records in QuickBooks (or other accounting software).
Accounts Payable
Process vendor bills and reimbursements. Collect and file receipts.
Reconcile credit card and bank statements monthly.
Enter reimbursable project expenses into QuickBooks or Monograph weekly.
Reconcile bank statements monthly.
Payroll Support
Assist with bi-weekly payroll processing.
Maintain employee records and ensure compliance with onboarding documentation.
Financial Reporting
Prepare monthly financial statements (income, expense, balance sheet).
Provide cash flow updates and simple projections.
Support CPA with requested reports during tax season.
GOALS & EXPECTATIONS
Complete all tasks accurately and on schedule.
Communicate clearly and proactively with management.
Maintain confidentiality and integrity in handling financial data.
Represent the professionalism and values of the firm in all interactions
SKILLS & QUALIFICATIONS Technical Proficiency
Strong command of QuickBooks; ability to manage integrations with Monograph or willingness to learn quickly.
Skilled in accounts receivable/payable, reconciliations, payroll processing, and monthly reporting.
Comfortable working in a fully paperless office with cloud-based systems and digital recordkeeping.
Experience
Prior work with service-oriented small businesses; architecture or design firm experience is a plus but not required.
Demonstrated success balancing workload across multiple clients/projects.
Experience collaborating with CPAs and supporting quarterly/year-end filings
Soft Skills
Exceptional attention to detail and accuracy.
Strong organizational and timemanagement skills to meet deadlines within limited hours.

RESPONSIBILITIES We are seeking a part-time Controller to oversee financial operations, provide strategic guidance, and manage recurring bookkeeping tasks for our firm. This role is ideal for an experienced professional who can balance hands‑on accounting with higher‑level financial planning and compliance oversight.
Financial Oversight & Reporting
Develop and maintain financial systems and processes to ensure accuracy and efficiency.
Prepare monthly, quarterly, and annual financial reports, including revenue projections and budget variance analysis.
Establish a cadence for financial reviews with leadership, including biweekly meetings with the Studio Manager & Owner/Principal.
Create and manage the annual operating budget; provide quarterly updates and recommendations.

Oversee invoicing and collections processes.
Ensure deposits and payments are recorded accurately.
Monitor QuickBooks and Monograph integration; resolve discrepancies.
Accounts Payable
Approve and process vendor payments and reimbursements.
Ensure credit card and bank reconciliations are completed monthly.
Oversee expense tracking and ensure compliance with reimbursement policies.
Payroll & Compliance
Supervise biweekly payroll for employees and contractors.
Ensure compliance with onboarding documentation (I9, W4, contractor agreements).
Monitor and maintain business licenses, statements of information, and renewals.
Oversee sales tax filings and estimated tax payments (CA & Federal)
CPA Collaboration
Partner with CPA on tax planning, compliance, and overall financial strategy.
Provide reports and analysis to support quarterly and year‑end filings.
Advise leadership on financial implications of business decisions

Experience with California tax and compliance requirements.
Familiarity with service‑oriented small businesses; architecture/design firm experience a plus.

7+ years in accounting, finance, or controller roles.
Prior work with small businesses or consulting firms.
Demonstrated success managing multiple priorities in a part‑time or fractional capacity.
