Position Project Coordinator – Structural / Mechanical Reports to: Project Manager or Area Manager
Job Summary Loenbro Southwest is seeking a skilled and detail-oriented Project Coordinator to join our Structural and Mechanical division. The ideal candidate will be highly organized, an effective communicator, and possess a foundational understanding of industrial construction processes, particularly structural steel erection, mechanical systems installation, and equipment setting. You will play a critical role in ensuring that all project activities for industrial facilities—such as plants, mills, and processing centers—are properly prepared, planned, scheduled, and communicated both internally and externally.
Responsibilities
Project Setup & Administration:
champion project documentation, such as structural steel shop drawings, mechanical P&IDs, equipment specifications, and managing correspondence including Requests for Information (RFIs) related to structural connections or mechanical systems to ensure a well-organized project launch.
Document & Quality Control:
Maintain and organize all project documentation, including contracts, construction drawings, mill certifications for steel, weld logs, and equipment submittals. Support quality control processes by coordinating material verification (steel grades, bolt torquing) and assisting with the compilation of turnover packages for client delivery.
Procurement & Inventory Management:
Perform material take-offs from structural and mechanical drawings to prepare accurate purchase requisitions for steel members, piping, valves, and other critical components. Manage inventory levels of high-use items, monitoring delivery status to support the project schedule and prevent delays in fabrication or installation.
Scheduling & Planning Support:
Assist the Project Manager in developing and maintaining detailed project schedules, integrating key phases such as steel fabrication, delivery, erection, and mechanical equipment installation. Support daily planning by helping to coordinate crane usage, material delivery sequences, and manpower with superintendents and general contractors.
Field Coordination & Site Support:
Coordinate field activities, including verifying field dimensions for structural fit-up, tracking the receipt and condition of mechanical equipment, and compiling as-built data. Travel to job sites as needed to conduct audits, participate in safety walks, and provide direct operational support to ensure project alignment with design intent.
Stakeholder Communication & Coordination:
Serve as a key liaison, facilitating clear communication between the Project Manager, field superintendents, steel fabricators, mechanical subcontractors, and clients. Work cross-functionally to resolve issues related to design clashes, material substitutions, and delivery schedules to maintain project profitability and timeline.
Completes tasks and responsibilities as delegated to fill gaps within the project team.
Adheres to all company policies and procedures, with a strong emphasis on safety protocols.
Knowledge and Skills
Strong organizational skills with the ability to manage multiple tasks and deadlines in a fast-paced industrial environment.
Knowledge of safety processes and procedures specific to steel erection and mechanical installation; OSHA 10 certification required.
Excellent verbal and written communication abilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Experience with project management software such as Procore or similar.
Associate or bachelor's degree in construction management, Engineering Technology, or a related field.
1-3 years of experience in a coordination or support role within industrial construction, specifically with structural and mechanical scopes.
Ability to read and interpret structural steel drawings, mechanical P&IDs, and equipment layout plans.
Forklift Certification or experience with material handling is a plus.
Ensures accuracy in all aspects of project tracking, reporting, and documentation.
Identifies and addresses challenges related to constructability, logistics, and materials proactively.
Works effectively with cross-functional teams including fabrication shops, field crews, and engineering to support project goals.
This is a full-time, hybrid position based in a shop/office environment with regular travel to industrial job sites required. Sites may include active plants, refineries, and new construction sites.
Standard work hours are Monday through Friday. The nature of industrial construction projects requires flexibility, and employees must be willing to work a variable schedule, including early mornings or extended hours, as needed to align with project phases, shift work, and critical path milestones.
