Events Planner, Davidson Gundy Alumni Center The Davidson Gundy Alumni Center (DGAC) at the University of Texas at Dallas was made possible by a $15 million gift from alumni Charles "Chuck" Davidson and Nancy Gundy Davidson. DGAC features 12 event spaces, including a dividable banquet space that can accommodate up to 400 people dining or 750 as a lecture. The adjacent lawn is surrounded by trees, has a state‑of‑the‑art drainage system, and is ideal for large weddings.

Job Summary The Event Planner coordinates all events hosted by DGAC. The Planner works closely with the Event Host, campus caterer, audio‑video department, maintenance, security, and external vendors. The planner also manages relationships with event sponsors, including campus departments, student groups, non‑UTD partners, corporate partners, and co‑sponsored partners without affiliation (e.g., brides and other outside groups).

Minimum Education and Experience Associate’s Degree. Two to four years of experience in event coordination or planning.

Preferred Education and Experience

College Degree

Two to three years of events work as a planner, host, server, or support crew

Three or more years of experience using Microsoft Office products

Great attitude and focus on guest satisfaction

Passion for providing great service

Reliable transportation

Availability to work days, evenings, random weekends, and evenings

Ability to schedule and direct a team of student workers

Extremely strong interpersonal skills – team player

Ability to multitask and coordinate concurrent events

Ability to adapt and problem‑solve quickly

Strong written and verbal communication skills

Adherence to all campus and University of Texas System policies and procedures

Other Qualifications To the extent this position requires the holder to research, work on, or have access to critical infrastructure as defined in Section 117.001(2) of the Texas Business and Commerce Code, the ability to maintain the security or integrity of the critical infrastructure is a minimum qualification to be hired and to continue to be employed in the position.

Essential Duties and Responsibilities

Plan events hosted at DGAC

Build lasting relationships with clients and vendors

Master control mechanisms for lights, sound, security, etc.

Manage the preparation of daily setup packages

Coordinate vendors and student workers

Ensure the client’s desired event design is achieved

Physical Demands and Working Conditions

Capable of lifting tables and chairs up to 50 lbs repeatedly

Capable of standing for long periods of 2+ hours

Remote Notice After the probationary period, this role may be eligible for a hybrid (partly remote/partly in‑office) work schedule, subject to business need and manager approval. The employee may be required to use a personal computer and other standard office equipment. The position must be located within the DFW Area and be able to be on campus with 24 hours’ notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
