Automation Alley is seeking an energetic and versatile professional who thrives in a dynamic environment and is comfortable wearing multiple hats. The ideal candidate is experienced in managing a variety of office and administrative tasks, can work independently, and enjoys creating a welcoming experience for members, partners, and guests. As a key member of the Automation Alley team, this position serves as the first point of contact at the front desk while also providing executive-level administrative support to the CEO and COO. The role includes coordinating logistics and planning for Board of Directors and Executive Committee meetings throughout the year. The candidate should be detail-oriented, proactive, discreet, and confident working independently. Key Responsibilities

Reception & Office Operations

Serve as the first point of contact by greeting, welcoming, directing, and announcing visitors in a professional and friendly manner Answer, screen, and route incoming phone calls Receive, sort, and distribute daily mail and deliveries Manage scheduling and coordination of six (6) conference rooms for staff and member companies Maintain daily upkeep of conference rooms and kitchenette Track and manage office, kitchen, and conference room supply inventory Coordinate with vendors and assist with general facility maintenance needs Support staff and member companies with food and hospitality needs during meetings and events Executive Assistant Support

Provide administrative and scheduling support to the CEO and COO Manage calendars, meeting logistics, and preparation for executive-level meetings Assist with document preparation, meeting materials, agendas, and follow-up items Handle sensitive and confidential information with discretion and professionalism Board & Executive Meeting Logistics

Plan and manage logistics for four (4) Board of Directors meetings per year and four (4) Executive Team meetings per year Coordinate meeting schedules, room setup, catering, materials, and technology needs Assist with preparation and distribution of agendas, packets, and supporting documents Support day-of meeting execution and post-meeting follow-up as needed Events & Operational Support

Assist with operational logistics for internal meetings, member events, and staff coverage Provide general administrative support to internal events team as needed Benefits:
