THE ROLE The Production Coordinator for Procurement will support the Procurement Department Management Team with purchase requests from key departmental stakeholders, obtain proposals from vendors through RFQ, and coordinate the end‑to‑end vendor contracting process. The role includes identifying opportunities for cost savings through side‑by‑side proposal analyses, working closely with accounting to identify new vendors, facilitate payment, and manage the full vendor lifecycle. The ideal candidate will excel in researching, evaluating and contacting vendors (often over the phone), and presenting service and rate comparisons to the Procurement team.

This position requires strong administrative skills including organizing schedules, project details, year‑over‑year cost analyses, and data consolidation. Proficiency in Excel and Google Suite is a must. The Coordinator must follow directions, excel in a fast‑paced, teamwork‑driven environment, and adapt quickly to last‑minute changes. This hybrid role involves remote work, office work, and on‑site presence at events.

RESPONSIBILITIES

Partner and collaborate with the Procurement Department to maintain ongoing communication channels across key stakeholder departments, providing efficient and effective vendor relations and sourcing support.

Evaluate vendors through various outreach methods and objective performance measurements, including on‑time delivery, quality of service, and price competitiveness.

Coordinate all aspects of the vendor contracting process: secure service agreements and insurance documentation with legal, advance credentials and site assets (power, heavy equipment), book supplemental labor, schedule install/strike dates, and ensure timely receipt of invoices upon completion of services.

Develop and maintain strong relationships with new and existing vendors.

Audit and submit invoices and purchase orders related to current vendor deals and negotiations.

Organize project details, schedules and spend data using Excel spreadsheets and pivot tables.

Ensure product and service quality remain paramount during all vendor discussions and negotiations.

Complete other special projects and tasks as assigned.

Travel may be required (economy).

Research possible sources/suppliers for requested items, provide alternatives or substitutions when applicable, and assist internal requesters with select requirements. Review technical drawings or schematics, evaluate total cost of ownership, and monitor savings on sourcing deals.

Ensure all purchases align with design specifications, project budgets, and timelines.

QUALIFICATIONS

Proven ability to navigate through Excel and G Suite (e.g., V‑lookup, pivot tables, formula‑driven).

Familiarity with production equipment such as tenting, stage decking, truss, heavy equipment, fencing, and sanitation is a plus.

Ability to negotiate contracts across various production‑related categories.

Excellent verbal and written communication skills.

Strong organizational and time‑management skills.

Previous purchasing or vendor‑relations experience.

Ability to think quickly on the fly, solve challenging situations while maintaining composure.

Extensive experience managing multiple large‑scale projects in high‑stress roles.

Exceptional phone etiquette and comfort dealing with vendors through various means of communication.

Detail‑oriented with an analytical attitude.

OSHA‑10 and forklift certification is a plus.

WORK ENVIRONMENT

Must tolerate loud noise levels and busy environments.

Must be willing to travel to work and to events during holidays, evenings, and weekends as required to meet deadlines.

Must be comfortable operating across multiple time zones.

COMPENSATION Pay Range: $22.00–$28.00

The expected compensation for this position is: $16.90 USD hourly

Pay is based on a number of factors including market location, qualifications, skills and experience.
