Spare Parts Manager
is responsible for ensuring the
efficient management of spare parts operations , including inventory control, ordering processes, warehouse coordination, and continuous process improvement. This role plays a
key part in supporting service operations ,
customer satisfaction , and overall business performance by guaranteeing timely availability of parts while minimizing obsolete or excess inventory.
The position requires strong analytical skills, operational discipline, and the ability to collaborate effectively with sales, service, logistics, suppliers, and headquarters.
Key Responsibilities Process Optimization & Continuous Improvement
Analyze company processes related to spare parts management to identify inefficiencies.
Propose and implement actions to improve workflow, service levels, and cost efficiency.
Support continuous improvement initiatives across service and logistics operations.
Inventory & Demand Management
Analyze sales history, inventory levels, and sales trends to optimize spare parts availability.
Maintain adequate inventory levels while minimizing aging and obsolete stock.
Monitor fast‑ and slow‑moving parts to balance service level and inventory investment.
Perform periodic physical inventory counts and ensure system accuracy.
Ordering & Systems Management
Manage and supervise the full ordering process for spare parts in the ERP system (Galileo), including sales orders for customers and purchase orders to suppliers and headquarters.
Ensure correct order processing, confirmations, and follow‑ups with suppliers and factory HQ.
Coordinate with logistics for inbound and outbound shipments.
Warehouse & Team Coordination
Oversee warehouse operations related to spare parts.
Coordinate and support the service and warehouse team in daily activities.
Ensure proper storage, organization, and handling of spare parts.
Propose targeted promotions to accelerate sales of selected machines and spare parts.
Support sales and service teams with availability checks, lead times, and part identification.
Maintain strong collaboration with sales to align invoicing conditions with commercial agreements.
Invoicing & Administrative Control
Supervise the invoicing process for machines and spare parts, ensuring alignment with agreed commercial terms.
Ensure accuracy and compliance of all transactional documentation.
Customer & Internal Relationships
Build and maintain positive relationships with customers, suppliers, and internal stakeholders.
Act as a key interface between service, sales, logistics, and headquarters.
Required Qualifications
Proven experience in spare parts management, logistics, service operations, or supply chain in industrial or machinery environments.
Strong knowledge of inventory management principles and demand planning.
Experience using ERP systems for order management and inventory control (experience with Galileo is a plus).
Solid analytical skills with ability to interpret sales and inventory data.
Experience coordinating warehouse and service teams.
Strong organizational and problem‑solving skills.
Customer‑oriented mindset with strong interpersonal skills.
Ability to work in a fast‑paced operational environment.
Preferred Qualifications
Experience in construction machinery, agricultural machinery, or industrial equipment sectors.
Experience working in a multinational environment and interacting with European headquarters.
