Legal Operations Specialist, Legal Affairs, Audit and Compliance and General Counsel Wayne State University is searching for an experienced Legal Operations Specialist, Legal Affairs, Audit and Compliance and General Counsel to support its Detroit campus location.

Job Purpose Supports the operational efficiency of the Division of Legal Affairs, Audit and Compliance and the Office of General Counsel, focusing on areas like project support, technology, administrative support, and contract and service provider coordination. Ensures teams are supported by systems, accurate data and support services for a variety of projects and acts as a partner to optimize processes and technologies, serves as a point of contact with a variety of customers and supports operational excellence within the legal function. This role reports directly to the Executive Assistant to the Vice President of Legal Affairs, Audit and Compliance and General Counsel.

Essential Functions

Project and Policy Support:

Provides coordination support to the teams, tracks progress, manages documentation, coordinates meetings and identifies process improvements to enhance efficiency. Ensures compliance with internal policies and legal requirements and adheres to standard operating procedures.

Administrative Support:

Provides administrative support for team members, includes filing court documents, supporting budget development and preparation of related presentations, acting as liaison to other departments, gathers and compiles data, analyzes expenditures for cost‑saving opportunities, reviews accuracy, arranges payment to outside counsel, manages receipt of and response to subpoenas, serves as notary public for the Office of General Counsel.

Technology Management:

Manages and optimizes systems (document management, e‑billing, contract management), develops and implements technology strategies to improve legal workflows, manages databases and updates websites, acts as point person for technological needs and solutions (document management systems, contract management tools, e‑discovery platforms) to improve productivity and streamline workflows.

Reporting, Analytics and Research:

Creates Excel charts, graphics and analysis to identify trends, assess impact, and support decision‑making. Develops and implements reporting processes to track key performance indicators, collects and analyzes data, provides reports on a variety of topics and special projects, acts as contact for policy research and drafting from peer institutions using administrative systems, applications and emerging AI technologies to analyze large and small data sets, contract or policy language.

Compliance and Risk Management:

Coordinates and compiles data for special projects supporting legal and regulatory standards, mitigates potential risks, provides project support to organizational compliance program and enterprise risk management programs, sets up committee and work group meetings, keeps meeting notes and is responsible for communications, conducts peer research, creates presentations and data analytics.

Vendor Liaison:

Acts as a point of contact with vendors, may participate in vendor related matters, may evaluate vendor performance and ensure cost‑effectiveness.

Knowledge Management:

Identifies and implements solutions to improve knowledge sharing and access to information within the team and across the organization.

Cross‑Functional Collaboration:

Partners with other departments (Finance, IT, HR) to ensure cohesive support for legal operations and alignment with broader business objectives; provides staff support to the Public Safety Department oversight committee, arranges meetings, keeps records, takes minutes.

Customer Accountability: Interfaces with customers outside the S/C/D

Freedom to Act: Subject to regular review by supervisor

Qualifications

Education:

Bachelor’s degree from an accredited college or university; a bachelor’s degree in business administration, law, or a related field, or a combination of education and relevant work experience may be considered.

Experience:

Minimum 2 years of job‑related experience in progressive legal roles in legal operations, legal project management, or a related role within a law firm or corporate legal department.

Knowledge, Skills and Abilities:

Expertise in Microsoft Excel and PowerPoint, proficiency in legal technology platforms, database management, project management software and data analytics tools; ability to adapt and learn emerging analytical skills; excellent communication and interpersonal skills; leadership; ability to work under pressure and meet deadlines. PMP or Six Sigma certifications are desirable.
