JOB PURPOSE OR MISSION: Performs general receptionist and secretarial duties. Efficiently and courteously processes all incoming calls. Facilitates voice paging and/or other internal communications. Operates a multi-station switchboard answering, routing calls and assisting customers. Responsible for data entry information through the computer system.
Job Functions
Greets guests, ascertains their needs, and appropriately directs guests or callers.
Performance Standards
Courteously answers the telephone and greets guests.
Responds to telephone before or by the third ring and promptly acknowledges caller.
Assists guest or caller by answering questions or providing information and determines when refer to other staff is appropriate.
Takes accurate messages and repeats key information to ensure accuracy.
Respects at all times the confidentiality of information.
Demonstrates knowledge of and ability to word process and format standard office documents.
Consistently completes all work processing assignments accurately.
Assignments are completed on a timely basis.
Always proofreads final copy.
Demonstrates effectiveness in operating telephone console to receive, route, and/or place calls.
Answers all incoming calls before or within 3 rings.
Receives, places, and transfers calls using appropriate telephone etiquette.
Handles telephone requests with courtesy, accuracy and respect for confidentiality.
Demonstrates responsibility for verbal and paging all emergency/disaster codes according to policy.
Places long distance calls for authorized parties only.
Enters data information through computer system.
Enters proper information into appropriate computer system with consistent accuracy, and within established timeframes.
Demonstrates a working knowledge of procedure and diagnosis codes as related to Medical Billing.
Updates system information daily according to charges received and processed.
Ensures that all forms received are fully completed.
Seeks clear direction to resolve issues and bring problems to a proper resolution with department manager.
Perform all other duties as assigned.
Requirements Specific Educational Requirements Experience in switchboard, receptionist, or clerical work preferred. High school diploma preferred.
Special Skill, License and Knowledge Requirements Microsoft Office
HIPAA Requirements Maintains knowledge of and adherence to all applicable HIPAA regulations appropriate to Job Position including but not limited to: patient demographics, patient related complaints, and information related to patient location.
