We are seeking a
seasoned Personal Injury Pre-Litigation Legal Assistant
who is experienced, reliable, detail-obsessed, and thrives in a support-driven role. This is
not
a stepping-stone position. This role is ideal for a career Legal Assistant who takes pride in being the backbone of a fast-moving legal team.
About the Role As a Pre-Litigation Legal Assistant, you will support experienced paralegals, attorneys, and case managers in the full lifecycle of Arizona personal injury cases. You will manage administrative and operational aspects of case files with precision, speed, and accuracy.
This role requires:
3+ years of personal injury experience
Filevine experience on day one
A service-minded, no-job-too-small mindset
A desire to stay and grow as a career Legal Assistant
In-office availability every day
You will report directly to the
Supervisor Paralegal / Pre-Lit Manager
and collaborate closely with the COO and leadership team.
Core Responsibilities File Management & Organization
Maintain
impeccably organized
case files in Filevine, including treatment summaries, timelines, tasks, and documents.
Ensure accurate, real-time updating of all case details and task completion.
Monitor deadlines, statutes, and workflows with proactive follow-through.
Assist with internal naming conventions and enforce clean, consistent Filevine use.
Medical Records & Treatment Tracking
Submit requests for medical records, bills, imaging, and treatment verification.
Track treatment progress, appointment attendance, and gaps in care.
Prepare organized medical chronologies and summaries for demand drafting.
Identify red flags in medical documentation and elevate appropriately.
Client & Provider Communication
Communicate with clients frequently and professionally to support their treatment journey.
Coordinate with medical providers, lien holders, and third parties with diplomacy and accuracy.
Document all communications clearly and concisely within Filevine.
Draft letters of representation, file memos, lien communications, and record request packets.
Support demand preparation by organizing file components and summarizing medical care.
Proofread and edit correspondence to meet the firm’s elevated standards.
Workflow Support & Case Progression
Assist paralegals and attorneys in preparing files for demand, negotiation, and settlement.
Support team members by handling administrative and technical tasks efficiently.
Participate in internal audits, cleanup projects, and process improvement initiatives.
Technology & Efficiency
Work confidently with Filevine, LeadDocket, RingCentral, O365, and related tech tools.
Use automation, tasking systems, and internal workflows to drive efficiency.
Support the team in adopting updated processes and tech enhancements.
What We’re Looking For Required
Minimum 3 years of experience in personal injury pre-litigation
Mandatory Filevine experience (intermediate to advanced)
Proven ability to manage a high volume of tasks with accuracy
Exceptional organization, time management, and follow-through
Strong written and verbal communication skills
Ability to stay calm, solution-oriented, and focused under pressure
Support-minded, team-first mentality with no desire to move into paralegal or attorney roles
Must thrive in a structured, high-accountability environment
Must be fully in-office Monday–Friday
Preferred
Experience supporting paralegals or demand writers
Familiarity with Arizona PI practice, medical terminology, and claims workflows
Experience in high-volume, standards-driven firms
