Billing Administrator

Position Summary : Responsible for ensuring accurate and timely billing and invoicing, monitoring customer accounts, handling customer inquiries and resolving billing discrepancies. May also engage in collections activities.
Responsibilities
Set up new customer accounts and maintain up-to-date and accurate customer information for Accounts Receivable/Payable.
Collect and compile customer billing records such as work orders, sales tickets, charge slips, and technician time sheets; calculate total amounts due and enter the relevant information into the database, ensuring accuracy of billing information, negotiated terms, and compliance with current legislation.
Prepare and distribute invoices to customers on a timely basis, including accurate details, dates of service, services performed, and/or amounts due.
Monitor customer accounts: ensure payments are made on time, report on overdue accounts, and maintain an acceptable level of overdue invoices as determined by Accounting policy.
Assist with collections of past dues by contacting customers via telephone, email, and/or written correspondence.
Generate credit memorandums to indicate incorrectly billed services. Uphold confidentiality regarding costing and billing when communicating with outside vendors, customers, etc.
Respond to customer billing questions via telephone and email.
Scan and file all account records into the system accordingly.
Perform backup duties and answer rollover calls for dispatch personnel.
Qualifications
High School diploma or equivalent
Two (2) years of billing or directly related experience
Working knowledge of MS Office and Billing/Financial software
Good organizational skills and attention to detail and accuracy
Understanding of billing and invoicing processes
Effective written and verbal communication skills; ability to communicate respectfully with customers
