Major Responsibilities

Coordinate messenger and courier service to receive, sort and distribute incoming/outgoing permits

Monitor incoming emails and answer or forward as required; also fax, scan and copy any permit‑related and install documents

Update and maintain databases such as mailing lists, contact lists and client information

Retrieve information when requested and type documents, reports and correspondence

Perform work‑related errands as required such as retrieving and distributing installation permits

Assist General Manager and Assistant General Manager with scheduling of outbound jobs in correlation of permits

Potentially work with customers on callbacks and service‑related items

Perform other clerical responsibilities as assigned

Skills, Knowledge & Abilities

Exceptional organizational skills and attention to detail

Strong communication, presentation and writing skills

Ability to communicate effectively with all levels of management

Ability to work well under pressure in a fast‑paced, dynamic environment

Ability to multitask and prioritize effectively

Requirements

High School Diploma and some related college coursework is preferred or equivalent related experience

1‑3 years prior experience in a like or similar position

Preferred Bi‑Lingual (Spanish)

Ability to work with minimal supervision and determine task priorities

Superior organization, project and personnel management skills

Ability to think through problematic situations suggesting viable solutions

Excellent business, sales and internet product acumen
