Position Summary
The AVP, Legal Operations Associate will assist the Legal Department by coordinating legal projects, supporting TCW’s internal committees, and helping to manage outside counsel relationships, including legal billing. This role serves as a strategic partner to legal leadership, ensuring compliance, cost control, and operational excellence.
Essential Duties Legal Operations
Project Management:
Execute project plans for legal initiatives, including organizing meetings and offsites, investigating applications that may enhance productivity, and implementing new or improved applications and workflows.
Reporting Metrics:
Prepare status reports and dashboards for senior management, highlighting key performance indicators (KPIs) and key risk indicators (KRIs).
Data Management:
Maintain accurate records of project decisions, risk assessments, and governance documentation.
Culture:
Build strong relationships with internal and external stakeholders to promote a culture of risk awareness and accountability.
Corporate Governance - Committee Support
Committee Support:
Promote effective corporate governance and enhance risk management by supporting TCW’s 20+ corporate committees.
Meeting Preparation:
Prepare agendas, briefing materials and minutes for certain operational and risk committees.
Governance Documentation:
Maintain and update firmwide committee charters, membership lists and other documentation. Maintain secure and organized records of all committee documents.
Risk Management:
Assist with the design and maintenance of comprehensive Incident Risk Registries for TCW’s corporate committees. Create committee and enterprise-level risk reports and dashboards, including reports on KPIs and KRIs.
Committee Development:
Provide training on committee roles, responsibilities, and risk governance principles.
Vendor Management
Outside Counsel Support:
Assist with the management of 50+ law firm and legal/compliance vendor relationships.
Serve as a primary point of contact on administrative and billing matters with law firms and other legal/compliance vendor relationships.
Ensure proper documentation and diligence for all legal vendors at onboarding and during the relationship life cycle.
Annually, partner with the Head of Corporate Governance to review and update engagements, policies, diligence procedures, and documentation.
Produce summary reports regarding legal spend, including tracking budgets by matter and department.
Assist with cost control in legal spend management.
Legal Reporting on Firm Vendors:
Develop and maintain KPI registries for vendor contract review and adherence to company risk guidelines.
Required Qualifications
Bachelor's Degree from an accredited college or university
Minimum of three years of relevant experience
Strong written communication
Proficient in MS Word, Excel and Outlook
Professional Skills Qualifications
Highly organized with focused attention to detail
Must work well in a team environment
Strong analytical and communication skills (both written and verbal)
Self-starter, roll‑up‑the‑sleeves work ethic
Desired Qualifications
Experience working in corporate law firms or in‑house legal departments
Project management experience
Experience with corporate governance and/or committee management
This role requires candidates to work from a TCW office a minimum of four days a week. Flexibility for remote work is offered on one day, depending on business needs.
Estimated Compensation Base Salary:
For a CA based position, the base salary is $100K-120K.
Other Compensation:
In addition to the base salary, this position will be eligible to be considered for an annual discretionary bonus.
