Job Overview We are seeking an energetic and detail-oriented Spa Coordinator to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a smooth and professional experience. Your proactive approach and excellent organizational skills will help maintain efficient office operations, manage communications, and support administrative functions with enthusiasm and precision. Duties
Greet visitors warmly and professionally, directing them appropriately and ensuring a positive first impression
Manage multi-line phone systems and CRM (training will be provided), answer inquiries promptly, and route calls efficiently using proper phone etiquette
Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and confidentiality
Maintain organized filing systems—both physical and digital—ensuring easy retrieval of documents
Support office management tasks such as calendar scheduling, appointment setting, and meeting coordination
Assist with data entry, proofreading documents, and maintaining accurate records using Microsoft Office and Google Workspace tools
Provide exceptional customer service by addressing inquiries, supporting clients and supporting administrative needs with professionalism
Requirements
Proven experience in office administration or clerical roles with strong organizational skills
Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Strong typing skills with attention to detail for data entry and proofreading tasks
Experience managing multi-line phone systems and demonstrating excellent phone etiquette
Bilingual abilities are highly desirable to effectively communicate with diverse populations
Familiarity with QuickBooks or basic bookkeeping is a plus for handling financial transactions or record-keeping
Prior experience in medical or dental receptionist roles is advantageous but not required; training will be provided for specific responsibilities
Demonstrated ability to manage time effectively while multitasking in a fast-paced environment
Personal assistant or office management experience is beneficial for supporting executive or team needs
