A team member in this position will provide supervision to a team of five part-time administrative clerks and help complete a wide variety of special data quality and administrative processing projects. This work is essential as we combine multiple vital records systems into one comprehensive statewide vital records system.

Responsibilities

Provides general supervision to a team of 5 part-time administrative clerks.

Retrieves vital records and makes frequent decisions according to state laws, policies, regulations, and procedures regarding the entering, sharing, and issuing of vital records; receives, reviews, verifies, and processes health and medical data, forms, and legal judgments and court documents related to vital records.

Makes amendments to vital records; reviews reports for missing, erroneous, or inconsistent information; obtains necessary information from hospitals, doctors, laboratories, or other data providers to ensure that data files are complete and correct.

Assists the state archivist’s team at the State Records & Retention Center (SRC) with scanning and digitization of millions of vital records spanning more than 100 years.

Conducts general administrative support services for the bureau, State Registrar & Chief, and the Deputy Chief such as mail sorting, filing, scanning, travel arrangements, billing/invoicing, and other related duties.

Minimum Qualifications

Four (4) or more years of experience processing technical, medical, legal, or confidential data or reviewing official documentation for compliance and/or validity and possession of a high school diploma or proof of high school equivalency, or a bachelor’s degree with 0-2 years of relevant experience.

Ability to operate in a fast‑paced, confidential environment requiring high focus, attention to detail, and multitasking.

Excellent supervision and customer‑service skills with internal and external customers; proficiency with Microsoft Office Suite, including Access.

Professional demeanor in a multi‑team member environment; emotional intelligence and analytical thinking.
