Executive Administrative Assistant
CBG Surveying Texas LLC, one of the most established and trusted land surveying companies in Texas, is seeking a highly skilled, mature, and proactive Executive Administrative Assistant to support the Director of Operations and the executive leadership team.
This role requires an individual with exceptional professionalism, confidentiality, and organizational expertise. The ideal candidate is a self-starter who thrives in a fast‑paced environment, can wear multiple hats, and brings a positive, solutions‑focused attitude to their daily work.

Director of Operations & Executive Leadership
Key Responsibilities
Executive & Administrative Support
Provide comprehensive administrative support to the Director of Operations and the executive team.
Serve as the primary point of contact and administrative liaison for internal and external stakeholders.
Manage complex calendars, meetings, travel arrangements, and executive scheduling needs.
Confidentiality & Professional Judgment
Handle highly confidential and sensitive information with absolute discretion.
Assist with confidential HR‑related tasks, including maintaining records and handling salary‑related materials.
Office Coordination & Process Management
Develop, implement, and maintain departmental systems, processes, and standard operating procedures.
Interpret and communicate policies and procedures to employees as needed.
Maintain office operations, including supply inventory, document management, and filing systems.
Communication & Correspondence
Review, route, and respond to emails, mail, and phone inquiries, tracking action items to completion.
Draft, edit, and prepare correspondence, reports, presentations, and administrative documents.
Data Management & Operations
Utilize various software applications such as Microsoft Office, spreadsheets, databases, document management software, and presentation tools.
Gather, analyze, and prepare information required for executive reporting.
Event & Meeting Coordination
Assist in planning and coordinating company events, meetings, conferences, and training sessions.
Qualifications & Requirements
Strong verbal and written communication skills; able to interact professionally with all levels of staff and external contacts.
Highly organized with strong attention to detail and the ability to manage multiple tasks simultaneously.
Excellent time management skills with the ability to meet deadlines.
Proactive, self‑directed, and resourceful, with strong problem‑solving and decision‑making abilities.
High level of maturity, professionalism, and discretion, especially when handling confidential information.
Strong interpersonal skills and a positive, team‑oriented mindset.
Proficiency in Microsoft Office Suite and comfort with learning new technology platforms.
Preferred: Associate’s or Bachelor’s degree; previous executive support experience strongly preferred.
2+ years of direct experience supporting executives within a privately owned or corporate business environment is required.
