Position Overview The U.S. District Court for the Eastern District of North Carolina is seeking qualified applicants for a full-time, temporary Civil Case Administrator/Courtroom Deputy. This position performs a variety of functions to support the Court and serve the bar and the public. The Case Administrator/Courtroom Deputy will be responsible for the case management of and courtroom proceedings for all civil cases assigned to him/her. The incumbent will work closely with other case managers and is expected to become fully cross‑trained in criminal case management and courtroom proceedings in order to assist and support other team members. This position is a temporary, year and a day position and will be assessed annually with the potential of becoming a permanent position. It is advertised at grade CL 25 with promotional potential to a CL 27. While the position will remain open until filled, applications received by the initial cut‑off date of October 31, 2025 will be given first consideration.
Representative Duties
Opens and closes cases, prepares case‑related correspondence, and issues summonses.
Reviews documents for completeness and conformity with federal and local rules and district policies.
Photocopies and scans documents.
Makes summary docket entries and performs quality assurance reviews in the Case Management / Electronic Filing System (CM/ECF).
Prepares and serves notices, orders, and judgments.
Runs case‑management reports in CM/ECF to monitor deadlines and undertake appropriate action.
Maintains the official court record and manages case progression from opening to final disposition.
Processes appeals and appeal‑related documents.
Creates and distributes judges' calendars and responds to inquiries regarding cases and court procedures from attorneys, self‑represented litigants, agencies, and the public.
Assists judges with courtroom proceedings including coordinating setup, calling the calendar, impaneling and managing the jury, administering oaths to witnesses and interpreters, managing exhibits, preparing minutes of proceedings, preparing jury vouchers, collecting data, and preparing statistical reports.
Supports other areas of the Clerk's Office and performs other duties as assigned.
Qualifications To qualify, applicants must have a high school diploma or equivalent and at least two years of specialized work experience involving legal terminology and the demonstrated ability to apply a body of rules, regulations, directives, or laws. Knowledge of civil litigation, the Federal Rules of Civil Procedure, the Eastern District of North Carolina Local Rules of Practice and Procedure, and CM/ECF is essential. Candidates must possess the ability to communicate information accurately, professionally, and in a timely manner to individuals within and outside the court unit.
The candidate must have a positive, service‑oriented attitude, be a self‑starter, extremely detail‑oriented, and possess extraordinary organizational, oral, and written communication skills. The role requires accurate, high‑volume data entry into an automated case‑management system, adherence to stringent deadlines, and effective interaction with judges, attorneys, litigants, and court personnel. Calmer under pressure, handling multiple simultaneous tasks, and adapting easily to change are essential. Proficiency in Microsoft Word, Adobe Acrobat, Excel, WordPerfect, and additional Windows‑based applications is required. A judicial employee must maintain a professional appearance and demeanor at all times.
Preference will be given to applicants who have a four‑year degree from an accredited college or university, North Carolina State Bar Paralegal Certification, or extensive legal experience in another court or law office.
Conditions of Employment Applicants must be United States citizens or lawful permanent residents actively seeking citizenship. Judicial Branch employees are “at will” employees and are not subject to competitive service employment regulations. Salary will be based on experience and qualifications. Electronic Fund Transfer (EFT) for payroll deposit is required.
Work may exceed a regular eight‑hour day or require an altered work schedule to support court operations without additional compensation. Travel, including overnight stays for court, is required.
