Executive Assistant Opportunity
We are looking for a highly organized and proactive executive assistant to support two founders of a dynamic startup in San Francisco, California. In this contract role with the potential for a long-term position, you will play a critical part in ensuring the smooth operation of daily activities, acting as a trusted partner in managing schedules, logistics, and communications. This position is ideal for someone who thrives in a fast-paced environment and is eager to grow alongside a rapidly scaling company.
Responsibilities:
- Manage complex calendars, scheduling, and email inboxes for two founders to ensure seamless daily operations.
- Coordinate travel arrangements, including booking flights, accommodations, and preparing itineraries.
- Organize logistics for meetings, including board and investor sessions, and provide executive-level communication support.
- Oversee office operations to maintain an efficient and productive work environment.
- Anticipate potential conflicts or challenges and proactively address them before they arise.
- Execute personal assistant tasks such as running errands and managing personal travel for the founders.
- Act as a reliable point of contact for sensitive matters, maintaining discretion and professionalism.
- Adapt to changing priorities and contexts, ensuring flexibility while maintaining high standards of organization.
- Assist in blending executive and personal assistant responsibilities to support founders effectively.
Requirements:
- Proven experience in executive assistant roles, preferably with startup founders or leadership teams.
- Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities.
- Strong problem-solving abilities and a proactive approach to identifying and resolving issues.
- Comfortable working in a fast-paced, dynamic environment with frequent context-switching.
- Excellent communication skills, both written and verbal, to interact with stakeholders at all levels.
- Trustworthy and discreet with sensitive information and high-level communications.
- Familiarity with travel coordination, calendar management, and office operations.
- Positive and efficient attitude, eager to contribute to a collaborative and growth-oriented team.
