We are currently seeking a talented and experienced Facilities Maintenance Coordinator to join our team of professionals. This position offers a great opportunity for dynamic, motivated self‑starters to work on a variety of work assignments. Summary Description This position is responsible for day‑to‑day maintenance of the Weston facilities, including but not limited to technical and administrative functions involving review and supervision of the work performed by contractors engaged in the maintenance, repair, and operational functionality, including aesthetics of Weston’s facilities. This position also handles warehouse operations including shipments, taking deliveries, and overall inventory. The role maintains fuel inventory and handles maintenance service requests for the City’s fleet. Proficiency in the use of Computerized Maintenance Management Systems (CMMS) such as City Works is desirable. Performs other related duties as assigned. This position receives assignments from and reports to the Facilities Manager of Weston.

Essential Duties & Responsibilities

Delivers a high level of customer service.

Conducts inspections of city facilities to ensure that the appropriate levels of maintenance are being performed.

Evaluates facility condition and uses these evaluations to recommend and prioritize maintenance and repair work.

Be physically present to monitor City Hall building operating environment during all City Commission meetings and other public meetings at City Hall.

Self performs minor maintenance and repair tasks.

Oversees all contractors and vendors (HVAC, carpentry, plumbing, lighting, roofing and electrical, fire protection, custodial, emergency generator, etc.) involved in the operation and maintenance of city buildings.

Plans, prioritizes, and coordinates maintenance activities with contractors and internal departments to remedy deficiencies and schedule preventive maintenance.

Coordinates and monitors work performed by contractors to identify problems, ensure organized and efficient work, and achieve a quality work product.

Monitors Building Automated Systems (BAS) and other control systems to respond (24/7) to building operational issues and alarms.

Utilizes work order systems to schedule and track all maintenance tasks and assigned projects.

Prepares necessary reports from CMMS related to operations/maintenance activities.

Manages fuel inventory (gasoline and diesel), dispensing station, and fuel software.

Schedules vehicle maintenance services, as needed, with contracted vehicle maintenance service vendor.

Oversees and ensures that the required preventive maintenance activities for all building elements are performed on time.

Performs assignments during Emergency Operations per the City’s National Incident Management System (NIMS) organizational chart.

Takes proper safety precautions, anticipates unsafe circumstances, and acts accordingly to prevent accidents; reports all accidents and damage to city property.

Performs related duties as required.

Knowledge Of

Principles and practice of construction, maintenance, and repair of typical public works‑maintained facilities.

Materials, methods, terminology, equipment and tools used in the maintenance, repair of building structures including those used in performing carpentry, plumbing, HVAC, electrical and painting work.

Building Automated Software and work order (CMMS) software applications.

Equipment, tools and materials used in facility maintenance activities.

Computers and software applications such as word processing, spreadsheets, and databases.

Ability To

Read and understand operations and maintenance manuals; construction drawings; and plans and specifications, as needed.

Organize and implement work plans related to repair and maintenance operations and activities.

Perform and/or oversee complex maintenance duties and operate related equipment.

Develop and recommend systems and procedures related to assigned operations.

Obtain required NIMS certifications (IS-700, I‑CS‑100, I‑CS‑200).

Communicate clearly and concisely, both orally and in writing.

Education/Training

High School Diploma or GED equivalent.

Experience: A minimum of two years of facilities maintenance experience in the Public Works arena.

Licensure and/or Certifications: Possess a valid Florida Driver’s license and have an acceptable motor vehicle record.
