Event Coordinator – Student Union The UCF Student Union Event Planning team is responsible for the management of the scheduling and reservation process for all the facilities managed by the UCFSU, including the Student Union, Live Oak Event Center, Reflection Pond, Memory Mall, patio space, and general‑purpose classrooms. This position supports the Event Coordinators and Event Manager II with the daily coordination of the intake reservation request process.

Opportunity Role reports to the Event Manager II and oversees reservations for registered student organizations, campus departments, affiliates, and public clients, while managing non‑academic classroom bookings campus‑wide.

Responsibilities

Supervise reservation of space and equipment for meetings, conferences, conventions, and special events in the Student Union controlled facilities including the Live Oak Event Center.

Review client requests on the use of SU facilities and equipment, input reservation information and prepare reservation confirmations.

Manage non‑academic reservations for classroom spaces campus‑wide.

Advise clients on their food service needs and other event programming requests and help connect them with internal and external vendors.

Communicate with student workers and other campus resources regarding specific client requests or concerns.

Minimum Qualifications High School Diploma or Equivalent and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

Preferred Qualifications

Bachelor’s degree in a relevant field.

Demonstrated experience in event planning or coordination.

Prior experience working in a college or university setting.

Familiarity with event management software, such as EMS Reservation System or Amadeus Diagramming.

Special Instructions Hourly rate: $20.29 – $21.00, determined by qualifications and internal equity. Part‑time, 6‑month appointment. Employment subject to funding availability and may cease when funding is depleted.

Benefits State benefits eligibility for OPS employees is subject to criteria established by the State of Florida. If this position becomes eligible for state benefits the employee will be notified by People First. OPS positions are not entitled to paid time off.

Work Schedule Up to 20 hours per week, Monday‑Friday, 8:00 AM – 5:00 PM.

Employment Type Fixed Term (Temporary). Seniority level: Entry level.
