Responsibilities

Lunch and absentee coverage for receptionist at the President’s Office front desk.

Clerical duties including, but not limited to, drafting, copying and organizing documents, filing, and management of incoming correspondence.

Maintenance of ongoing morning and afternoon errand schedule, as well as handling additional deliveries as requested.

Escort the President, Provost, Vice Presidents, or special guests to university, legislative, or community events via golf cart or university vehicle.

Internet or university records research.

Verify paper stock in copy and fax machines, organize supply closets, and maintain order.

Verify inventories of office supplies and bring deficiencies to the attention of appropriate office staff member.

Assist in organizing meeting space and post meeting maintenance of conference spaces.

Regularly check levels of inventory from coffee vendor.

Restock sodas, water, and coffee supplies in office kitchen and conference rooms, using a first in, first out regimen.

Bring inventory deficiencies to the attention of the appropriate office staff member.

Brew coffee as needed.

Tidy kitchen at the end of the business day.

Special projects or duties as assigned.

Qualifications

Knowledge of basic computer applications including Word, Excel, record keeping, printers, telephones, voicemail, copying, and email.

Knowledge of basic current principles and practices of customer service and customer relations.

Skills in effective communications – written and verbal English (including in electronic formats).

Entry level skills in employee interpersonal relationships and development.

Ability to read, analyze, and interpret general business correspondence in English.

Ability to respond effectively to inquiries in written and spoken English.

Ability to quickly solve practical problems.

Ability to work at a computer workstation for periods at a time.

Ability to interrupt ongoing work to respond to visitor and departmental inquiries.

Ability to switch rapidly among multiple ongoing tasks.

Ability to prioritize tasks and to efficiently manage time.

Ability to use appropriate telephone etiquette.

Basic knowledge of the offices of the President and Provost.
