Job Summary
Under direct supervision, schedules initial interview and intake appointments for patients, types correspondence and reports, answers telephone, provides information, and performs related clerical duties. Supports Kaiser physicians and therapists in Behavioral Health Service.
Essential Responsibilities
Schedules appointments for psychiatric patients on OPAS.
Contacts patients by telephone or correspondence to notify them of appointment changes or to re-schedule.
Answers telephones and relays messages.
Answers requests for medical information from outside providers and governmental agencies per Kaiser Permanente protocols.
Transcribes psychiatric consultation summaries from physician notes.
Files summaries in patient case records and distributes copies to appropriate personnel as directed.
Maintains confidentiality of medical records.
Types correspondence, memorandums, forms, reports and statistical reports pertaining to departmental activities.
Sorts and distributes mail (inter-office and postal mail).
Clerical support: files correspondence and reports, makes copies of documents.
Calls in prescriptions.
Orders lab tests.
Maintains office supplies and re-orders as needed.
May assist in reception by checking in patients and receiving co-payments.
Establishes and maintains courteous, cooperative relations with other personnel, providers, health plan members and the public.
Calls patient from waiting area and places in exam rooms.
Keys DKAs into automated system.
Arranges patient admission, transfer, or discharge.
Arranges transportation of non-ambulatory patients.
Completes and forwards chart request forms.
Completes patient processing forms such as admission/discharge documents, chart request, surgery request forms, and obtains patient authorization signatures.
Completes disability requests for providers.
Fills out laboratory, x‑ray requisitions, and specialized test forms.
Lists referrals from physicians.
Notifies appropriate personnel of abnormal lab test results.
Verifies patient/member eligibility.
Maintains physician and therapist schedules.
Notifies patients of appointments/scheduling changes by phone or mail.
Prepares physician and therapist schedules.
Answers member inquiries.
Explains hospital regulations and policies.
Explains TRRS policies.
Copies documents.
Files patient summaries.\li>Requests charts.
Answers and routes telephone calls.
Screen patient calls and takes messages for providers.
Types necessary correspondence and materials and supplies.
Clears paper jams and performs routine maintenance.
Operates copier equipment.
Assumes other activities and responsibilities as directed.
Utilizes coding system: Care.
Complies with government/regulatory agencies such as Med‑Cal, Medicare. Maintains equipment such as card imprinting machine, computer terminals, and photocopying machine.
Basic Qualifications
Previous mental health experience.
Typing 40 wpm; typing score current within one year.
Proficient with MS Word and Excel.
Excellent organizational and interpersonal skills.
Proficiency with PC required.
Detail oriented.
Education High school diploma or GED.
Notes Position will support BHS department as needed, including covering vacation, leave of absence, call‐outs, and holiday coverage. Supports Behavioral Health, Psychiatry, Addiction Medicine, and Social Medicine.
