Tricare Home Health Services Inc. is a locally owned, family‑run home health agency that has served the San Antonio community for nearly 30 years. We are seeking a dependable, organized, and proactive Intake & Scheduling Coordinator to join our in‑office team.

This is a core operations role responsible for managing referrals, follow‑ups, documentation, and scheduling. The right person takes ownership, follows through, and understands that consistency and documentation protect both patients and the agency.

Schedule & Location In‑office position only

Monday–Friday (Full Time)

35–40 hours per week

No field visits

Primary Responsibilities

Intake & Referral Management (Primary Focus)

Process new referrals promptly and thoroughly

Follow up on pending referrals until resolved

Request and track records, orders, and missing documentation

Verify insurance and coordinate with clinical staff

Ensure no referral or task is left unresolved

Scheduling

Schedule nursing and therapy visits per orders and availability

Communicate schedule details to staff and referral sources

Update changes accurately and timely in the EMR

Documentation & Compliance (Non‑Negotiable)

Document all calls, follow‑ups, and actions the same day

Maintain organized, audit‑ready patient charts

Follow agency intake workflows exactly—no shortcuts during training

If it isn’t documented, it didn’t happen.

Office & Care Coordination Support

Assist nurses and therapists with non‑clinical coordination

Call physician offices for orders, confirmations, and follow‑ups

Help with chart cleanup and operational tasks during slower intake periods

Support overall office workflow as needed

What We’re Looking For Required

Experience in a medical or healthcare office setting

Comfortable making phone calls and following up persistently

Strong documentation and organizational habits

Reliable, punctual, and consistent

Willingness to learn home health‑specific processes

Preferred (Not Required)

Home health intake, scheduling, or referral experience

Insurance verification or authorization experience

EMR experience (Axxess a plus)

Spanish‑speaking a plus

LVN license a plus (not required)

This role is best suited for someone who values stability, structure, and ownership—not a hospital or corporate environment.

Compensation

$21–$24/hour, based on experience

2 PTO days after 90 days

Annual performance reviews and growth opportunities
