Working in a fast‑paced and continuous learning environment, provides administrative support to the Board of County Commissioners.

Job Duties

Employee in this position is responsible for providing administrative support to the Commissioners' office:

Provides customer service for the office of the Board of County Commissioners.

Manages the front reception desk and main incoming phone line with efficiency, responsiveness, and professionalism.

Manages incoming and outgoing mail.

Prepares correspondence, resolutions, ordinances, notices of attendance and special session notices as directed and/or when deemed necessary; maintain office records; provides registration and travel arrangements as necessary followed by expense reimbursement claims submittals to County or appropriate agencies.

Arranges meetings and/or appointments, processes information that comes into the office, alerts Commissioners to important issues.

Maintains Commissioners' web page including but not limited to posting of recordings and meeting minutes of Board of Commissioners and Council of Governments, postings of news briefs, press releases, and listings of Interlocal Cooperation Act Agreements. Regularly ensures accuracy of information.

Updates Annual Planning Log.

Prepares Accounts Payables batches and orders supplies for office.

Assists in coordinating Commissioner participation on various committees, boards or councils.

Coordinates employee award program presentation at Board meetings.

Manages the official record archival system for retrieval of documents by County staff, including scanning documents into the document management software and records retention compliance.

Provides backup as needed to other support staff and performs tasks as necessary.

Completes other work assignments and directives of the Board.

Performs other duties as assigned.

Knowledge, Skills & Abilities

Must have excellent composition, grammar, business writing, proofreading and editing skills.

Strong general office skills required. Must be proficient at word processing/computer programs/various recording systems, including but not limited to Microsoft Word, Excel, Outlook and PowerPoint.

Maintains a high degree of professionalism, skill, accuracy and good judgment.

Ability to assume new responsibilities quickly and efficiently.

Effectively uses tact, discretion and courtesy in communicating with people.

Ability to recognize and maintain confidentiality of sensitive information.

Must be self‑directed, able to meet deadlines while working in a constantly changing, fast‑paced environment.

Must be familiar with office organization and management practices, laws, rules and regulations regarding county operations, including applicable State laws and regulations. Knowledge of Open Public Meetings Act, Appearance of Fairness Doctrine, Quasi‑Judicial Proceedings, ethical codes, and Public Disclosure laws.

Must possess flexibility to complete a task regardless of interruptions, competing interests or quickly changing priorities.

Able to understand questions and readily grasp ideas and instructions quickly.

Education, Experience & Certifications

High School diploma/combination of education, training and experience.

One year of increasingly responsible governmental office work.

Ability to successfully complete any required training classes as the task may require.
