Summary This position provides administrative support to enable the field ministry area office to function in an organized and efficient manner.

Essential Duties

Answer correspondence, perform filing, and prepare mailings.

Handle incoming phone calls and respond to voicemails in a timely, professional manner.

Gather articles, pictures, layout, production, and mail materials for newsletters from area staff.

Create club/event postcards, flyers, and maps.

Send prayer e‑mails, monthly updates, and personal support mailings.

Maintain the area M‑Site.

Send thank‑you letters to donors.

Interact with area office assistant, area directors, area committee, volunteer team leaders, and leaders with area.

Administration

Process and track donations.

Maintain donor and leader databases, ensuring all forms, driver questionnaires, and criminal background checks are current.

Manage monthly expenses and budgets, including area bank account records, FDT, and expense reports.

Pay bills, submit bank account records/purchase‑card expenses and donations, and update FDT each month.

Maintain contact databases: update area donor database, enter club‑card data into kid database, update parent database, maintain newsletter recipient list, create banquet invitation list, and update contact in Palm/Outlook.

Update email distribution lists for club kids, campaigners, committee, leaders, and prayer partners.

Human Resource for Regional Administrators

Track and report vacation, sick, and personal days for eligible area staff.

Submit timesheets for hourly staff.

Complete Personnel Action Requests, hire or terminate area staff, and forward to region for approval.

C. Event Administration

Coordinate area meetings: area staff meetings, area leadership meetings, and area committee meetings.

Manage camp activities: track participation, payments, health forms, and fundraiser earnings; send letters to parents about camp sign‑ups and itineraries.

Responsible for fundraiser marketing, brochure construction, and distribution.

Communicate with camp regarding contracts, deposits, A‑forms, housing requests, and 10‑day call‑ins.

Banquet and Golf Marathon/Auction: create invitations, sponsor packets, table host packets, banquet program, and donor cards; track guest list, sponsors, RSVP list, donations; coordinate with table hosts; mail invitations and send thank‑you notes to donors.

D. Training

Provide training on processes and applications related to field administration to area office assistant, area directors, area committee, volunteer team leaders, and leaders.

Working Conditions

Office environment.

Education

High school education or equivalent.

Associates degree preferred.

Ongoing education encouraged.

Experience Required

Previous administrative assistant experience preferred.

Typing speed of 55–60 words per minute with few errors.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Strong organizational skills, attention to detail, and ability to handle concurrent tasks and interruptions.

Good grammar and strong written and verbal communication.

Ability to maintain confidentiality.

Basic accounting skills.

Detail‑oriented multitasking ability.

Proven relational skills with both kids and adults.

Initiative for developing processes/systems around events—data organization and maintenance.

Great customer service skills.
