Trust and Estates Legal Assistant Tampa FL We are seeking a polished and professional Legal Assistant to support our Trusts & Estates practice. This position involves working closely with high-net-worth clients and requires exceptional communication skills, both in person and over the phone. The ideal candidate will be detail-oriented, proactive, and capable of managing multiple priorities in a fast-paced environment.

Key Responsibilities

Coordinate and manage attorneys’ daily schedules, anticipating needs and planning ahead.

Prepare, edit, and proofread legal documents and correspondence for accuracy.

Maintain calendars for appointments, meetings, and travel arrangements.

Process expense reports, reimbursements, and check requests.

Enter, review, and finalize timekeeping entries using firm standards.

Handle monthly client billing, including reviewing prebills and making necessary edits.

Open new matters, conduct conflict checks, and maintain organized client files.

Prepare files for off-site storage and ensure proper indexing.

Uphold strict confidentiality of all firm and client information.

Qualifications

Minimum 3 years in Trusts & Estates preferred, OR 3 years as an Executive Assistant/Secretary in a professional setting.

Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.

Familiarity with document management and time entry systems is a plus.

Strong grammar, spelling, and communication skills.

Exceptional attention to detail and organizational ability.

Ability to multitask and adapt to changing priorities.

Professional demeanor and client-focused mindset.

Billing experience preferred (including electronic billing).

BA/BS degree preferred but not required.

Benefits & Details

Office Hours: 8:30 a.m. – 5:00 p.m.

Parking Stipend: $111.10/month

Retirement: 401(k)

Paid Time Off: 18 days annually (prorated first year)

Pay Details: $55,000.00 to $75,000.00 per year
