About the Role: We are seeking aCommunications Project Coordinator to help keep RDF’s communications teamrunning smoothly. This role blends logistics, event planning, andadministrative support, from onboarding and conferences to materials, meetings,and deadlines. The ideal candidate thrives on organization, manages multiplepriorities with ease, and ensures every detail is handled with care. Key Responsibilities:

Onboarding Support:

Coordinatelogistics for new employees onboarding, including scheduling orientations andsetting up email Prepareonboarding materials and welcome packets Serveas a point of contact for new hires, ensuring they have the tools andinformation needed to get started Conference & EventCoordination:

Assistin planning and executing internal and external events, including conferences,meetings and site visits Managetravel arrangements, registrations, and accommodation bookings Coordinatelogistics such as shipping materials, scheduling rooms, and managing RSVPs Prepareand organize materials for distribution (agendas, signage, nametags, etc.) UseCRM tools to pull and organize guest lists, update contact records, and trackevent-related communications. Materials, AssetOrdering & Office Supplies:

Trackand order supplies, branded materials, and other assets Maintaininventory and ensure timely restocking Coordinatewith vendors and monitor delivery timelines Meeting Coordination:

Scheduleinternal and external meetings, including sending calendar invites andreminders Preparemeeting agendas and supporting documents Takeand distribute meeting notes or action items when needed Ensureall necessary tech or space logistics are arranged (Zoom links, room bookings,A/V setup) General AdministrativeSupport:

Supportday-to-day administrative tasks in communications department as needed Maintainorganized filing systems and shared drives Trackdeadlines and follow up on outstanding tasks Requirements

Required Skills:

Excellentorganizational and time-management skills, with the ability to prioritize andmeet deadlines Strongwritten and verbal communication skills Comfortablecoordinating logistics and handling multiple projects simultaneously Tech-savvyand proficient with tools like Zoom, Microsoft Office/Google Workspace, shareddrives as well as social media platforms Experiencewith CRM systems, including pulling contact lists for events, adding andupdating records, and maintaining accurate contact data. Detail-orientedwhen it comes to scheduling, materials prep, and follow-up Aproblem-solver who can troubleshoot issues and keep processes moving Ableto work independently but also collaborate effectively across departments Friendly,responsive, and professional in all interactions Experiencewith ordering systems or vendor management Familiaritywith conference or event planning logistics Education:

Bachelor’sdegree in Communications, Marketing, Public Relations, Business Administration,or a related field preferred Equivalentcombination of education and directly relevant work experience will also beconsidered Experience:

2– 3 years of experience in communications, event coordination, projectmanagement, or administrative support Experiencein nonprofit, philanthropy, financial services, or mission-driven organizationspreferred Priorexperience supporting executives or communications teams is a plus Work Location

Hybridschedule available (2–3 days onsite per week) Occasionaltravel may be required (approx. 10 –15%)
