Executive Administrative Supervisor

Posting will close at any time. The New Mexico Department of Health (NMDOH) works to promote, preserve and protect the health of New Mexicans. The agency consists of 7 state‑run facilities and 50+ Public Health Offices across the state.
Why does the job exist? The position provides administrative support to all staff members in the Office of the Secretary, primarily to the Cabinet Secretary and to support the Constituent Services Liaison in providing excellent customer service and handling constituent concerns and inquiries.
How does it get done? Coordinating and maintaining the Secretary's calendar, scheduling meetings, managing appointments, and handling meeting logistics. Drafting, proofreading, and managing internal and external communications, including emails, meeting minutes, memos, and official letters. Serving as a liaison between the Secretary's Office and other departments or external stakeholders while supporting the Constituent Services Liaison. Preparing agendas, minutes, reports, and presentations. Organizing and maintaining digital and physical filing systems. Coordinating and supporting high‑level meetings, including board meetings and leadership team sessions. Booking travel, purchasing supplies, assisting with special projects as assigned.
Who are the customers? Internal and external stakeholders such as NMDOH employees and the citizens of New Mexico.
Ideal Candidate Someone who can operate at a very high level of professionalism, discretion, and organization while keeping pace with a fast‑moving environment. Exceptional organization and time management skills, strong written and verbal communication skills, professional discretion and confidentiality, executive‑level administrative experience, advanced proficiency with office systems and technology, and a problem‑solving mindset.
Qualifications Associate Degree in Business Administration, Public Administration, or Accounting and two (2) years of directly related job experience operating within parameters and guidelines in the areas of office administration, budgeting, purchasing, finance, accounting, auditing, cash management, contract management, and/or in the procedures of business and management principles involved in strategic planning. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling four (4) years may substitute for the required education and experience.
Employment Requirements Must possess and maintain a valid driver's license.
Working Conditions Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage.
