Senior Office Coordinator – Full Time Days/Evenings
Mary Washington Healthcare is seeking a Senior Office Coordinator to join our Medical Imaging of Fredericksburg (MIF) locations. The role alternates schedule: Monday–Friday 8:00 a.m. – 4:30 p.m.; 9:00 a.m. – 5:30 p.m.; 10:30 a.m. – 7:00 p.m.
Job Summary This position is responsible for obtaining and verifying all patient insurance and pre‑authorization information, performing scheduling functions, and collecting self‑pay, co‑pay, and patient deductibles. The incumbent performs clerical, reception, and other support functions to ensure timely day‑to‑day operations and communications throughout the MIF locations.
Essential Functions and Responsibilities
Train, orient, and provide oversight to office coordinators in collaboration with leadership.
Participate in efforts to maintain departmental retention and provide mentoring and coaching when needed.
Maintain databases and ensure data integrity by monitoring entries, trending recurrent issues, identifying discrepancies, and facilitating corrective action and education.
Collaborate with leadership to identify quality assurance trends and provide corrective action.
Maintain accuracy rate in accordance with departmental quality goals and ensure proper identification checks.
Collaborate with colleagues in one‑on‑one and group settings to identify concerns and recommend solutions.
Monitor and perform cancellations/rescheduling from the cancellation list.
Maintain call center logs.
Perform office coordinator coverage and duty assignment as requested by leadership.
Greet all customers courteously and professionally, addressing needs efficiently, effectively, and confidentially.
Answer telephones courteously, professionally, and promptly; screen and transfer calls or take messages as appropriate.
Assist in handling various patient financial matters.
Schedule tests as ordered by physicians or staff via appropriate scheduling software.
Maintain documentation necessary for compliance with state, federal, and other regulatory agency requirements.
Collect required co‑pays by referencing insurance cards.
Obtain authorization information from insurers via their websites as applicable.
Monitor scheduling work‑lists to ensure timely scheduling and insurance verification.
Provide patients and physicians’ offices with instructions for proper pre‑procedure preparation.
Communicate with insurance companies to determine benefits, required co‑pays, and pre‑authorization documentation, and prorate bills with management approval.
Maintain an organized and efficient work area.
Inform associates of activities and delays.
Monitor appropriate reports and maintain knowledge of CPT and ICD‑10 codes, ensuring orders are entered accurately and efficiently.
Enter all necessary pre‑authorization documentation into Radiology Management Systems (RMS) via the revised schedule information screen.
Review pre‑authorization denial reports provided by the billing company to ensure accuracy.
Perform other duties as assigned.
Qualifications
High school diploma or equivalent.
Basic computer skills; strong verbal and written communication skills required.
Two (2) years related experience in a call center, patient registration, patient accounts, or patient billing preferred.
Experience with third‑party insurance, insurance terminology, CPT, and ICD‑9 codes preferred.
EPIC EMR experience preferred.
Previous leadership experience preferred.
