- Manage complex calendars for partners and senior attorneys, resolving conflicts and anticipating needs.
- Coordinate heavy domestic and international travel arrangements, including itineraries, logistics, and meeting prep.
- Serve as a trusted liaison for clients, internal teams, and external vendors handling communications with professionalism and confidentiality.
- Draft, edit, and proofread legal documents, filings, correspondence, and presentations.
- Spanish-language proofreading, translation, and drafting experience is strongly preferred.
- Open new matters, maintain physical/electronic files, and ensure all materials adhere to firm protocols and compliance requirements.
- Process time entries, track deadlines, manage attorney expenses, and assist with pre-bill edits and final billing reviews.
- Collaborate closely with Finance, Client Accounting, Document Services, and other support teams to ensure accuracy and timely turnaround.
- Assist attorneys with hearing preparation, meeting materials, binders, research compilation, and internal project coordination.
- Provide support for presentations, client events, and attorney business development initiatives as needed.
- Uphold meticulous attention to detail while juggling multiple priorities and tight deadlines.
- 6+ years of legal secretarial experience, preferably in an Am Law or similarly rigorous law firm environment.
- Strong background in litigation and/or international arbitration.
- Experience supporting senior partners and high-volume attorney teams.
- Advanced skills in MS Office (Word, Outlook, Excel, PowerPoint) and document management platforms.
- Proven ability to maintain confidentiality, manage sensitive information, and communicate professionally at all levels.
- Strong organizational, time management, and multitasking skills.
- Demonstrated longevity and consistency in past roles (stable resumes required).
- Bilingual Spanish proficiency including drafting, translating, and proofreading legal documents.
- Prior experience supporting attorneys in global matters, foreign proceedings, or cross-border litigation.
- Familiarity with international clients, cultural nuances, and multilingual communication environments.
- Experience preparing presentations, coordinating events, and supporting attorney business development.
