Position Summary
The newly formed Global Sales Operations & Effectiveness (SO&E) organization is leading the transformation of sales capabilities, positioning BD to become the strongest commercial organization in MedTech. The Executive Assistant will report to the SVP, Sales Operations & Effectiveness and serve as the administrative business partner to the SVP and several VPs within SO&E.
The candidate is a strategic partner and force multiplier to senior leaders, providing high?level administrative and operational support, ensuring executive time is invested in the highest?value activities and organizational goals are advanced. This role requires exceptional organizational skills, proactive problem?solving, and the ability to manage complex tasks in a fast?paced environment. The Executive Assistant serves as a trusted liaison, safeguarding confidential information while driving efficiency and collaboration across teams.
Key Responsibilities
- Partner with executives (SVP, VPs) and associates (e.g., Director BD Excellence, Chief of Staff) to develop intentional calendars that prioritize time and energy in the right areas.
- Proactively manage calendars to resolve conflicts, ensuring executives are well prepared for meetings each day and week.
- Coordinate internal and external meetings, including agenda preparation and follow?up actions.
- Protect executive calendars, vetting requests for time and maintaining high standards for meeting hygiene.
- Process expense reports, manage purchase orders, vendor administration, and invoices.
- Partner with Finance to coordinate cross?charge processes and ensure compliance with company policies.
- Support departmental budget management and company resource utilization.
- Organize logistics for meetings and events, including travel arrangements, accommodations, AV setup, printing of materials, and catering.
- Ensure attendees of all meetings and events are informed of their roles and well prepared.
- Prepare briefing materials and ensure all details are delivered flawlessly.
- Handle incoming and outgoing mail, maintain confidential documents, and ensure timely completion of administrative tasks.
- Maintain organizational charts and manage document workflows.
- Scan executive email inboxes each morning to flag top?priority emails for timely response and action.
- Create high?quality presentations, reports, and other materials to support leadership initiatives.
- Leverage AI tools (e.g., Copilot) and digital platforms (e.g., Miro) to streamline workflows.
- Champion digital?first solutions and identify opportunities for process automation.
- Partner with other executive assistants to streamline operations and provide backup support as needed.
- Foster strong relationships across teams to enable smooth communication and coordination.
- Lead or support special projects and process improvement initiatives.
- Coordinate cross?functional priorities and track deliverables for strategic programs.
- Manage sensitive information with discretion and professionalism, maintaining the highest standards of confidentiality.
- Exercise sound judgment in prioritizing requests and managing competing demands.
- Serve as a gatekeeper, ensuring alignment with strategic priorities.
Required Qualifications
- 10+ years of experience supporting senior leaders in a corporate or fast?paced environment.
- Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word).
- Familiarity with standard corporate travel and HR software (e.g., Concur, Workday) and collaboration tools (e.g., Microsoft Teams).

- Experience working in a fast?paced industry (e.g., technology) is a plus.
- Experience in project coordination or event planning, including managing timelines and deliverables.
- Ability to analyze data and generate insights for reporting and decision?making.
- Exposure to budget management and financial forecasting processes.
- Strong stakeholder management skills, with the ability to influence and build relationships across all levels.
- Experience supporting global teams and navigating cultural nuances.
- Certification in administrative or project management disciplines (e.g., CAP, PMP) is a plus.
