The Event Coordinator is responsible for end-to-end planning, coordination, and execution of conferences, tradeshows, and roundtable events. This includes managing logistics, sponsorships, booth design, marketing integration, and post-event performance tracking.
Key responsibilities
Develop and manage master event calendar for conferences and tradeshows.
Align event goals with marketing and sales objectives, tracking campaign codes, booth scans, and meeting outcomes in CRM.
Secure sponsorships, exhibitor packages (10×10 and 10×20 booth levels), and show presence activities (attend only discount passes, speaking deadlines)
Manage inventory of booth graphics, giveaways and materials
Design and order booth graphics, banners, carpet, furniture, lead scanners needed
Coordinate shipping/advance warehouse arrangements
Manage exhibitor service manuals and vendor relationships
Marketing & Engagement
Plan pre-show, during-show, and post-show meetings, activities, calendar and deadlines.
Work with content manager and email coordinator on necessary content (emails, social media, blogs).
Plan and execute client/prospect roundtables including goals and tracking in CRM
Coordinate venue, catering, and attendee engagement strategies
Working with content manager and email coordinator for scheduling invites, social, roundtable event schedule, speakers and content for events
Qualifications:
Proven 3-5 year experience managing conferences and tradeshows, in B2B setting
Knowledge of booth design, shipping logistics, and exhibitor tools
Strong project management and vendor coordination skills
Proficiency in CRM and event tracking tools
Excellent communication and negotiation skills
Ability to manage projects and timelines in a fast-paced environment
