Single Point of Referral Administration Assistant The closing date is 20 January 2026
Job Overview
The post holder will provide administrative support to the Children's Single Point of Referral Office, using medical terminology for letters, managing waiting lists, booking appointments, and supporting a range of services including Community Paediatricians, ADHD Nursing, NDS, Key Worker Service, Children's Occupational Therapy, Children's Community Nursing, and Starfish Children's LD CAMHS. The role requires excellent communication skills, attention to detail, and the ability to work autonomously and as part of a team.
Main duties This fast‑paced role requires communication with families, carers, admin staff and clinicians via email, phone and in person.
Add referrals to SystmOne
Action tasks on SystmOne as requested by clinical and admin teams
Book community paediatric and ADHD nursing appointments in accordance with service guidelines
Scan and process incoming/outgoing paperwork
Complete actions for triaged referrals, create letters for families
Answer incoming calls and complete call actions
Manage all queries to ensure referrals move through the required pathway
Cover children's reception on occasion
Support colleagues as required
Maintain close contact with supervisor, participate in team huddles

Job responsibilities Received and processed referrals for Children's Services: Community Paediatricians, NDS, Key Worker Service, Children's Occupational Therapy, Children's Community Nursing, Starfish Children’s LD CAMHS. Liaised with health professionals to triage and acted as the first point of contact for queries about new referrals.
Used software: SystmOne, Microsoft Word & Excel to produce, maintain and distribute triage letters, manage waiting lists and appointments, resolve conflicts, issue letters/texts, book interpreters, manage clinician ledgers, annual leave, and perform general office duties such as photocopying, scanning, emailing, filing, etc.
Anticipated and assessed problems, exercised independent judgement, identified areas for improvement, handled telephone calls, built working relationships with consultants and staff, communicated clearly, respected confidentiality, exercised tact in challenging situations.
Person Specification Qualifications
GCSEs in English and Maths (Level 4/Grade C) or equivalent
NVQ Level 3 in Business Administration and/or equivalent experience
Experience
Knowledge of computerised patient administration systems such as SystmOne
NHS medical terminology
Proven experience in a busy office environment
Skills, Abilities and Knowledge
Comprehensive knowledge of Microsoft Office, especially Word, Outlook and Excel
Good organisational skills
Ability to work on own initiative, prioritise and manage workload
