IT Administrative Assistant Must be able to work in a fast-paced environment while maintaining confidentiality. The role requires a detail-oriented, efficient, and self‑motivated individual who can work independently and as part of a team. Strong time management skills, ability to adapt to changing priorities and effective communication skills are essential. Proficiency in Microsoft Office 365, Outlook, Excel and Word are required.
Administrative Assistant Key Responsibilities Communication & Coordination
Respond to emails and send status updates to managers and employees using pre-designed templates.
Coordinate and schedule meetings, appointments, and IT-related activities.
Record Maintenance & Data Management
Maintain and update various Excel spreadsheets, office-specific folders, and company documents.
Preparing invoices and credit card receipts.
Update user information in Verizon Wireless and Nextiva Portals.
Manage multiple Pitney Bowes accounts, providing updated W-9’s and CIOs as needed.
Maintain employee directories and intercompany contact lists.
Administrative & IT Support
Process requests for new temporary phone lines, schedule installations, and manage service disconnects.
Order and track Pitney Bowes supplies across all locations.
Handle Canon supply/paper orders for large-format machines and multifunction devices at designated locations.
Work closely with vendors to ensure timely procurement and delivery of IT-related services and supplies.
Maintain organized physical and digital filing systems for IT documentation.
Ability to lift and move items up to 50 lbs when handling IT equipment and supplies.
Employee Onboarding & IT Setup
Assist with new employee onboarding and termination processes.
Update IT-related spreadsheets and documentation accordingly.
Coordinate with vendors for necessary approvals and actions.
Configure desktop settings and Outlook contacts for new users, including importing contacts using webmail (office.com) before password changes.
Send completion emails (using templates) to the appropriate managers and staff upon onboarding completion.
Administrative Assistant Job Requirements
Ideal candidate will have previous administrative experience and strong with computers to have the ability to work in different programs.
Proficient in Microsoft Excel and Word.
Ability to work part-time hours.
