Provides a wide variety of administrative and staff support services to a department. The Administrative Assistant works at the direction of the reporting supervisor to complete projects and generally coordinate the daily functions of the department as they relate to the reporting supervisor.
Responsibilities
Document and Data Management – Type memorandums, policies, meeting minutes, manuals, letters, forms, procedures, and other general typing as directed; proof materials for errors and ensure layout is in keeping with hospital style; maintain department and hospital manuals, typing and collating all revisions and distributing pertinent revisions.
Data input and retrieval – Input and retrieve data utilizing knowledge of various computer software packages.
Office supply inventory – Inventory and order all office supplies regularly.
Filing and organization – Maintain accurate and efficient filing systems, ensure neat and well-organized file systems, file documents, compile new files, and transcribe data while preserving confidentiality; coordinate meetings, prepare agendas, notify members, attend meetings, record minutes, and maintain appointment and events calendar.
Mail handling – Sort mail, prioritizing urgent correspondence and time‑dated material.
Telephone and scheduling management – Answer telephones, route callers, take messages, provide routine information to callers, provide backup telephone coverage, greet visitors, guide them to appropriate locations, perform billing and scheduling duties, resolve problems, and aid in project development and coordination.
Other duties as assigned – Perform other duties as assigned or requested.
Qualifications Experience – 4 years secretarial experience.
Education – High school or equivalent, basic college courses.
