Administrative Assistant
St. Louis, MO (hybrid schedule)
The Administrative Assistant will provide high-level administrative and operational support to the VP of HR/Talent, while also assisting the Talent Acquisition Manager with essential recruiting and coordination tasks. This role is ideal for someone who thrives in a fast-paced environment, enjoys being the organizational backbone for busy leaders, and brings a proactive, detail-oriented approach to every assignment.
Responsibilities
- Provide day-to-day administrative support to the VP of HR/Talent, including calendar management, meeting coordination, travel arrangements, and document preparation.
- Serve as a reliable point of contact for internal and external stakeholders on behalf of HR leadership.
- Assist with preparing presentations, reports, and communications as needed.
- Coordinate and schedule interviews across multiple teams and levels, ensuring a smooth and professional candidate experience.
- Manage and maintain LinkedIn job postings, including creating new postings, refreshing existing ones, and monitoring applicant flow.
- Support the Talent Acquisition Manager with candidate tracking, communication, and general recruiting workflow tasks.
- Assist with invoice processing and tracking, including submitting invoices for approval and ensuring timely payment.
- Maintain organized digital files, SharePoint folders, and HR documentation.
- Help streamline administrative processes and identify opportunities to improve efficiency within the HR and Talent Acquisition teams.
- Partner with HR, Talent Acquisition, and other internal teams to support ongoing initiatives and special projects.
- Provide general administrative support across the HR function as needed.
Essential Skills
- 2+ years of administrative support experience, preferably supporting HR or Talent functions.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent communication skills and a polished, professional demeanor.
- Experience with scheduling tools, Microsoft Office Suite, and LinkedIn job posting tools.
- High attention to detail, strong follow-through, and a proactive mindset.
- Ability to maintain confidentiality and handle sensitive information with discretion.
Additional Skills & Qualifications
- Ability to communicate effectively with C-Suite executives.
- Experience in organizational tasks and talent acquisition support.
Work Environment
This position is primarily remote but requires local presence in St. Louis during the contract period. If the position becomes permanent, there would be an expectation of in-office presence.

Pay and Benefits
The pay range for this position is $24.00 - $25.00/hr.
