The anticipated salary range for this role is between $48,000.00 and $95,000.00. The specific salary offered will depend on qualifications, experience and local market conditions. A discretionary annual incentive may also be available.

Role Description

We are seeking an experienced, self?motivated Administrative Assistant/Office Manager to support the Washington, DC office. The ideal candidate can multitask, works well in a team environment, is willing to learn, take initiative and grow.

Role Objectives

  • Handle business travel bookings and travel expense reimbursements using Concur.
  • Submit and manage reimbursement requests; track and pay expenses.
  • Maintain contacts and distribution lists for the team.
  • Schedule and host meetings, in?person and online.
  • Arrange reception rooms for external guests and order catering or dinner reservations as needed.
  • Order office supplies, business cards and other procurement items via the Coupa system; manage building maintenance requests.
  • Deliver, copy, scan and file documents, faxes, letters, newspapers and packages.
  • Maintain the office handbook.
  • Respond to ad?hoc requests.

Qualifications and Skills
  • Experience in an administrative capacity, preferably in a corporate environment.
  • Experience with Concur (travel booking, expensing).
  • Proficient in MS Office Suite (Excel, Word, PowerPoint, Access) and Outlook.
  • Ability to multitask and work in a fast?paced environment.
  • Strong written and oral communication skills.
  • Excellent organizational skills and attention to detail.
  • Highly collaborative, flexible in a team environment and able to build good relationships.
  • Excellent time?management skills and ability to prioritize work.
  • Preferred: Bachelors degree.
  • Preferred: Japanese language skills (reading, writing, speaking).
