Secretary Position

The School Secretary plays a vital role in ensuring the smooth and efficient operation of the school office, providing administrative support to the school staff, students, and parents. This position requires a highly organized, detail-oriented individual with effective communication and interpersonal skills.

Essential Duties and Responsibilities:

  • Manage the school's front office, greeting visitors, and handling phone calls and correspondence.
  • Maintain accurate student records, including attendance, enrollment, and transfers.
  • Provide assistance to school staff with administrative tasks such as scheduling, materials preparation, and event coordination.
  • Facilitate communication between parents, teachers, and school administration.
  • Manage school calendars, scheduling meetings, and events.
  • Prepare and distribute reports, correspondence, and other materials as needed.
  • Handle confidential information with discretion and in compliance with FERPA guidelines.
  • Assist with the school's operations and ensure compliance with applicable laws and regulations.
  • Oversee the ordering and management of office supplies and other school materials.
  • Receive, verify, and route incoming mail and shipments.
  • Serve as a resource for district and administrative personnel related to their areas of expertise.

Qualifications and Skills:

  • High school diploma or equivalent required.
  • Associate or bachelor's degree in business administration or a related field preferred.
  • Previous experience as a school secretary or in a related administrative role is often preferred.
  • Excellent organizational and time management skills.
  • Strong communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite and other relevant software programs.
  • Ability to maintain confidentiality and handle sensitive information discreetly.
  • Ability to work independently and as part of a team.
  • A professional and customer service-oriented demeanor.

Physical Demands:

  • While performing the duties of this job, the employee is regularly required to talk or hear.
  • The employee is frequently required to stand, walk; sit; use hands for fine manipulation, handle or feel and in reaching with hands and arms using a keyboard and video display terminal.
  • The employee is occasionally required to stoop, kneel, crouch or crawl.
  • The employee must regularly lift and move up to 55 pounds and occasionally up to 75 pounds.
  • Specific vision abilities required by this job include close vision.
