Student Office Assistant
The Department of Psychiatry and Behavioral Sciences Division of Community Behavioral Health (CBH) seeks an enthusiastic work-study student who can provide a variety of administrative and data entry roles to support faculty and staff. This position will be responsible for providing in-office front desk reception coverage and requires a friendly, professional, reliable and organized individual who demonstrates strong initiative, attention to detail and possesses excellent time-management and communication skills. Job duties include, but are not limited to:
- Generating a positive impression of office by greeting visitors, staff, faculty and students.
- Answering telephone calls and forwarding messages with a high degree of professionalism.
- Picking-up and sorting mail and receiving packages.
- Processing faculty and staff purchase and travel reimbursements using Chrome River.
- Assisting faculty and staff with organizational and project requests.
- Inputting and verifying data in prescribed formats, utilizing knowledge of various computer software packages.
- Completing data entry tasks following a standardized protocol when needed.
- Recognizing issues requiring immediate attention and assisting with solutions.
- Troubleshooting minor technology issues.
- Assisting with inventory management.
- Assisting with filing, shredding and scanning.
- Performing other miscellaneous job-related duties as assigned.
- Ensuring strict confidentiality of client records
This position is located off campus and is working in the office. This is not a remote position. Students are expected to prioritize work over homework. If no work is available, they are expected to meet with their supervisor for homework approval.
Minimum qualifications are not specified. Preferred qualifications include:
- Work study qualified student.
- Consistent availability during regular business hours Monday Friday 8:30am 4:30pm.
- Experience as a receptionist and excellent customer services skills.
- Skilled in the use of personal computers, Chrome River, Excel, Smartsheets, Teams, Zoom and other MS Office applications.
- Excellent verbal and written communication skills.
- Experience with data input and the ability to verify and correct errors.
- Ability to follow instructions and adhere to protocols and procedures.
- Attention to detail.
- Experience with the use of basic office equipment.
- Ability to maintain confidentiality of records and information.
