Fleet Management Associate The Fleet Management Associate serves as the first line of defense for and provides dedicated customer support to frontline drivers, internal operations teams, and external service vendors, acting as the primary liaison to meet the company’s fleet management needs. This role ensures daily operational readiness by coordinating preventive maintenance, managing minor repairs, and strictly monitoring all vehicle data through telematics platforms. By ensuring compliance and maximizing vehicle uptime, the Associate directly impacts the business's profitability and efficiency by reducing downtime and avoiding costly regulatory penalties.
Role Responsibilities
Applies foundational knowledge of fleet processes, including maintenance scheduling, fuel card management, toll tracking, and basic recordkeeping
Navigates vendor systems and company policies for fleet coordination
Participates in vehicle allocation and tracks the end-to-end lifecycle of fleet assets, from procurement and initial preparation to eventual disposal or replacement
Oversees vehicle licensing, registration, and insurance. Ensure the fleet meets all federal, state, and local mandates, such as DOT (Department of Transportation) and OSHA safety standards
Maintains accurate asset registers and internal service records, including tracking of mileage logs, fuel consumption, and vehicle health data to identify operational trends
Oversees the Fleet DOT (Department of Transportation) program, including driver qualification files, medical examiner certifications, clearinghouse inquiries, and pre-employment queries
Job Requirements and Experiences
High school diploma or equivalent required; Academic degree not required; post-secondary or vocational certification/diploma preferred
CAFS Certified Automotive Fleet Specialist certification preferred, but not required
A minimum of 1 year of experience
Prior roles in customer service or sales build the interpersonal skills necessary for managing driver relations and working with vendors
Experience as a dispatcher, warehouse manager, or logistics coordinator provides a strong foundation in routing, scheduling, and inventory management
Experience in military logistics—such as managing unit motor pools or equipment
Working as a shop technician or fleet mechanic helper is highly regarded, as it ensures you understand repair timelines and can effectively troubleshoot vehicle issues
Handles day-to-day fleet coordination tasks, including scheduling vehicle maintenance, processing fuel card requests, and updating toll records
Assists with vehicle rentals and basic purchase/disposal paperwork, escalating complex issues to senior staff
Communicates with drivers and vendors to coordinate services and resolve minor issues
Prepares basic reports on fleet usage, expenses, and compliance for internal review
Ability to communicate with drivers regarding compliance reminders and maintenance needs
Knowledge of environmental and safety policies and procedures
Ability to work within tight deadlines
Ability to work independently and as part of a team
Ability and willingness to travel to and from job sites as assigned/needed
Strong interpersonal skills, with the ability to manage customer relationships
Proven ability to empathize, build relationships, and effectively communicate with people from a diverse set of backgrounds
Excellent proficiency with Microsoft Office (Excel, Word, PowerPoint, Outlook) and Teams
Strong organization skills and ability to coordinate multiple tasks and deliverables
Motivated self-starter, goal-oriented, and strong problem-solving abilities
Responds well to direction, is easy to challenge and develop, and is coachable
Demonstrated desire to learn about the Company and the renewables space
WORK ENVIRONMENT This position is an office-based role with some travel and visits to other RWECE offices and field locations. The employee must be able to sit, walk, or stand for long durations of time.
