Responsibilities
* Greet visitors and provide general support to visitors
* Mailing, filing, going on errand
* Answering phones and taking messages and/or routing calls to correct personnel.
* Schedule meetings and appointments
* Organize the office layout and order stationery and equipment
* Perform basic word processing, make photocopies, and change paper and toner cartridges on printers and copier
* Maintain the office condition and arrange necessary repairs
* Maintain office policies as necessary
* Oder and obtain quotation
* Organize office operations and procedures
* Ensure that all items are invoiced and paid on time
* Provide accounting information the third party
* Input of information into various computer applications,
* Assist in managing contract with vendors, service providers and landlord
* Assist in managing office G&A budget, ensure accurate and timely reporting
* Assist in the onboarding process for new hires
* Liaise with facility management vendors, including cleaning, catering and security services
* Assist in liaising with parent company in Tokyo
* Assist plan in-house or off-site activities, like parties, celebrations and conferences
* Translation from Japanese to English or from English to Japanese
* Any report as required.
* Other general office duties as required
Requirements and Skills
* Proven experience in office administration
* Knowledge of office Administrator responsibilities, systems and procedure
* Fluent in both Japanese and English languages
* Proficiency in MS Office
* Familiarity with email scheduling tools, like Email Scheduler and Boomerang
* Excellent time management skills and ability to multi-task and prioritize work
* Attention to detail and problem solving skills
* Excellent written and verbal communication skills
* Strong organizational and planning skills in a fast-paced environment
* A creative mind with an ability to suggest improvements
* 1-3 years of accounting experience is preferred
* General data entry skill
* Associates Degree is preferred.
