Position Overview:

Administration & Talent Management is seeking one (1) Administrative Services Assistant (ASA) contractor.

The selected ASA will report directly to the Director of Facilities and will be an integral part of the Facilities Team at TennCare. This role focuses on providing administrative support related to mail management and other facilities-related activities.

Key Responsibilities:

* Receive, sort, and distribute incoming and outgoing mail/packages for the agency.

* Maintain accurate records of mail activities, including tracking numbers, sender/recipient details, and delivery dates.

* Coordinate with mail carriers (e.g., FedEx, USPS) to ensure timely deliveries and dispatches.

* Utilize Microsoft Outlook, Excel, Word, and other programs to complete administrative tasks.

* Respond promptly and professionally to customer inquiries via phone, email, and TEAMS chat.

* Accurately input and update data from various sources while maintaining data integrity and confidentiality (including scanning documents, verifying data, and managing electronic files).

* Actively participate in team meetings and collaborate effectively with colleagues.

* Assist with the distribution of temporary badges for employees and contractors.

* Travel as needed to nearby post offices and state buildings to retrieve or drop off mail, badges, and hang tags.

Minimum Qualifications:

* 1-2 years of experience in an administrative and/or customer service role.

* High school diploma or GED.

* Physical ability to lift and carry packages weighing up to 50 lbs.

* Valid Tennessee driver's license and a clean motor vehicle record (MVR).

* Ability to work independently and collaboratively in a fast-paced environment.

* Strong verbal and written communication skills.

* Excellent organizational skills with the ability to prioritize, multi-task, and meet deadlines.

* Strong interpersonal skills and the ability to maintain positive working relationships.

* Comfortable using computers and related software to accomplish daily tasks.

Work Location:

This position requires daily in-office attendance at the TennCare building to effectively support facilities and mailroom operations
