The Organization
Hansell Tierney is partnering with a Seattle-based private family to recruit an experienced Fractional Executive Assistant to support one member of the family directly. This role provides high-touch administrative, logistical, and personal support across the principal's business, philanthropic, and personal activities.
The Opportunity
The Fractional Executive Assistant will provide high-touch, comprehensive administrative support spanning the principal's personal, family, business, and philanthropic activities. This role requires someone who can move fluidly across contexts, manage complexity with calm precision, and anticipate needs before they surface. The anticipated hourly commitment per week is ~25 hours.
The Fractional Executive Assistant will engage closely with the principal, family members, and a wide circle of internal and external relationships. Success in this role requires exceptional judgment, top-tier written communication skills, and pride in executing details flawlessly. No task is too small, and no detail is overlooked.
Key Responsibilities
Executive Support, Communications, and Calendar Coordination
* Maintain the principal's calendar, thoughtfully coordinating appointments and activities to support a smooth and well-structured daily rhythm
* Exercise strong judgment around scheduling, prioritization, and stakeholder relationships while maintaining strict confidentiality
* Review, triage, and respond to incoming communications including email, mail, invitations, and phone calls
* Draft executive correspondence and communications on behalf of the principal
* Coordinate briefing materials, background information, and preparation for meetings, travel, and events
* Maintain contact lists and manage communications across business, philanthropic, government, education, family, and social relationships
Travel and Logistics
* Handle end-to-end travel arrangements, including domestic and international travel
* Coordinate commercial, private, and other travel modes as required
* Prepare detailed itineraries and travel materials, including schedules, contact lists, requested reading, and logistics
* Anticipate travel needs and proactively manage changes, contingencies, and special requirements
* Conduct travel research and planning, including destinations, accommodations, restaurants, events, and local customs
* When appropriate, partner with outside travel or tour providers
Administrative, Project, and Personal Support
* Support special projects, events, and initiatives across the Principal's priorities
* Receive, organize, and prepare receipts and documentation for expense reporting to bookkeeper
* Run occasional errands and assist with ad hoc requests as needed (groceries, appointments for car service, etc.)
* Serve as a thought partner to the principal, helping consider options, assess implications, and coordinate execution of decisions
Qualifications and Desired Experience
* Bachelor's degree preferred
* Proven experience in executive or administrative support roles, including at least three years supporting a senior executive or principal in a private business, family office, or philanthropic environment
* Must be comfortable around cats
* Exceptional judgment and proven ability to handle highly confidential and sensitive information
* Outstanding written and verbal communication skills
* Tenacious attention to detail and pride in producing polished, accurate work
* Technically savvy, proficiency with Microsoft Office, including Outlook email, calendar, and contacts management;
* Strong organizational systems and ability to manage competing priorities without dropping details
* Highly developed interpersonal skills and ability to build trusted relationships internally and externally
* Proactive mindset with the ability to anticipate and prevent issues before they arise
* Comfortable working flexible hours on occasion to support travel, events, or time-sensitive needs
* Thrives in a role with broad scope, enjoys close collaboration, and values long-term working partnerships

Compensation Range - Anticipated Hourly Range $50-$60 depending on experience
Benefits - 120 hours of PTO per year
