Summary Coordinates all patient scheduling activities including appointments, procedures, and exams across multiple hospital sites, physician practices, outpatient departments, modalities, and facilities. Facilitates communication between staff, referral sources, and physician offices regarding scheduling concerns.
Job Duties
Collect clinical information, obtain insurance, and verify patient demographics to schedule screening and diagnostic tests.
Schedule patients for physician appointments and diagnostic test procedures.
Educate patients, families, and physician offices on department protocols, procedures, insurance, referrals, and testing criteria.
Monitor practice protocols and department procedures and make recommendations for improvement.
Use scheduling software and other patient‑specific applications to facilitate patient access into the network.
Serve as a resource for staff, physicians, and referring offices.
Reduce errors, minimize rework, and maintain high quality through attention to detail.
Minimum Qualifications
High School Diploma/GED.
Six months of medical office, call center, or customer service experience, or an Associate’s degree or higher in lieu of experience.
Ability to maintain strict confidentiality.
Ability to work in a fast‑paced environment while handling multiple responsibilities.
Detail‑oriented with accurate data entry skills.
Ability to handle stressful situations.
Proficiency in Microsoft Office apps.
Preferred Qualifications
Familiarity with EMR and scheduling systems such as EPIC or PHS.
Bi‑lingual English/Spanish.
Physical Demands Lift and carry 25 lbs. Frequent sitting/standing, keyboard use. Patient‑care providers may perform activities specific to their role, including kneeling, bending, squatting, and performing CPR.
