Bid Coordinator . This position coordinates opportunities for Sales and Operations.

Key Responsibilities

Receive all requests for bids from contractors and out-of-town rep firms.

Set up projects in AirMaxx, collecting all documentation (plans, specifications, etc.) in the project folder.

Track strategic projects and gather feedback.

Document management: track, distribute, and control all bid documents, plans, specifications, and addenda.

Timeline management: monitor all submission deadlines and manage the overall bid timeline to ensure on‑time delivery.

Communication and coordination: collaborate with internal stakeholders and external partners to manage project pipelines; communicate opportunities to internal specialists.

Compliance & quality: ensure the bid document is accurate, complete, persuasive, and fully compliant with client requirements.

Vendor & subcontractor management: develop and maintain subcontractor and vendor relationships; manage bid lists to ensure broad coverage.

Content management: build and maintain a library of reusable bid components, templates, and case studies.

Reporting: use AirMaxx to manage the Bid Board and customer feedback; provide regular updates on bid activity and progress to management; collaborate with the Data Analyst to track market share and win‑loss ratios.

Opportunity research: find new bid and proposal opportunities from sources such as Dodge Construction Central, Nashville Business Journal, City Now Next, etc.

Skills

Attention to detail: crucial for reviewing proposals and ensuring accuracy.

Strong organizational skills: manage multiple bids and complex documentation simultaneously.

Excellent written & verbal communication: required for drafting proposals and coordinating with teams.

Time management & ability to work under pressure: essential for meeting tight deadlines.

Technical skills: proficient in Microsoft Office, document control software, BlueBeam, and ability to learn other software.

Collaborative spirit: work closely with many different people across the organization; manage expectations and follow procedures.

Industry knowledge: understanding of the construction, engineering, and architecture landscape is beneficial.
